Job description
We are looking for a highly organised and detail-oriented Finance & Returns Administrator to join our growing team. This role is responsible for the day-to-day financial administration of the business, ensuring accurate reconciliations, journal processing, returns management and financial record keeping.
The successful candidate will work closely with the Finance, Operations, Procurement and Customer Service teams to ensure that financial transactions, supplier accounts, customer refunds and inventory-related financial records are processed accurately and efficiently.
Key Responsibilities
Finance Administration
- Perform daily bank, supplier and customer reconciliations.
- Process daily financial journals and accounting entries.
- Capture and maintain accurate financial records.
- Process credit notes and supplier reconciliations.
- Assist with month-end financial processes.
- Investigate and resolve reconciliation discrepancies.
- Monitor incoming and outgoing payments.
Returns Administration
- Manage the end-to-end returns process.
- Process customer refunds and supplier credits.
- Liaise with suppliers regarding returns and warranty claims.
- Ensure returned stock is accurately recorded and updated.
- Maintain returns registers and supporting documentation.
- Monitor return turnaround times and follow up on outstanding returns.
Reporting
- Prepare weekly and monthly finance and returns reports.
- Track refunds, supplier credits and outstanding financial queries.
- Maintain accurate reporting records and provide administrative support to the finance team.
Compliance
- Ensure compliance with company financial policies and procedures.
- Maintain accurate audit trails and supporting documentation.
- Assist with internal and external audits.
- Handle confidential financial information with professionalism and integrity.
Minimum Requirements
- Diploma or Certificate in Finance, Accounting or Bookkeeping.
- Minimum 2 years' experience in a finance, bookkeeping or accounting administration role.
- Experience with accounting software (Xero or similar) will be advantageous.
- Intermediate Microsoft Excel skills.
- Strong reconciliation and data capture experience.
