Financial Accountant

SUMMARY: We are looking for a detail-oriented and experienced Financial Accountant to manage the organisation''s full financial function.

POSITION INFO: This role is critical to the financial health, compliance, and operational efficiency of the organisation. The ideal candidate will bring order, accuracy, and professionalism to the finance function while supporting the organisation's mission. Key Responsibilities 1. Financial Systems & General Ledger (Xero) Administer and monitor the Xero financial system to ensure all transactions are accurate and complete. Manage the General Ledger, including Income Statement and Balance Sheet accounts. Perform monthly bank reconciliations. Manage Debtors and Creditors responsibly. Create new accounts in the Chart of Accounts as required. Process monthly journals (e.g., admin fees, salaries, and more). Generate and distribute Profit & Loss reports for individual projects, including transaction details for project manager review and comment. Manage user access and permissions on Xero. Prepare and send financial reports to the Board and Project Managers. 2. Payroll Administration - MP Online Manage the electronic salary system (MP Online), including updates for new staff, resignations, salary changes, unpaid leave, and Momentum updates. Perform bulk updates for salary and medical aid increases. Create monthly payment files for all projects and handle import of bulk salary payments to the bank. Create and release payments in FNB; attach supporting records in Xero. Process payrun journals in Xero. Run and submit EMP201 returns electronically via eFiling by the 7th of each month (or preceding Friday if the 7th falls on a weekend). Handle 6-monthly and annual SARS reconciliations (EMP501), IRP5 certificates, and related submissions (coordinated with HVM). Manage ad-hoc payroll requirements (e.g., weekly payments for specific staff such. 3. Banking & Treasury (FNB and related) Monitor all bank accounts daily. Download and import bank transactions into Xero. Prepare and process internet payments, transfers, and Forex releases (subject to GM\/MD approval). Add\/remove payment recipients as required. Manage petty cash accounts across Head Office, and branches (including receipt, processing, and reconciliation on Excel before import to Xero). Ensure all payments are supported by proof of payment (POP) and properly filed\/attached in Xero. Handle FNB account confirmations and related compliance. 4. Donor & Revenue Management (Netcash and others) Run debtor reports on the 15th of each month via Netcash. Allocate bulk donor receipts to the correct projects and bank accounts. Process journals for donor allocations to specific projects. Capture invoices on Netcash and perform monthly reconciliations. Issue Section 18A tax-deductible certificates to donors (including special handling for BP Kenridge and monthly donors). 5. Compliance, Audits & Statutory Requirements Act as primary liaison with external auditors and lead the annual audit process (target completion by end of September). Coordinate with HVM for Tax Clearance Certificate (TCC) renewals, CIPC annual returns, COIDA updates, and 6-monthly\/annual SARS UIF\/PAYE reconciliations. Manage all financially related email correspondence. Handle updates to CIPC records when Board changes occur. Support SED\/ICPR (B-BBEE related) annual renewal process. 6. Project-Specific & Ad-Hoc Financial Administration Manage invoicing and licensing fee collections for JES (Marataba, Salt & Light, De Meul, Philippolis, etc.). Coordinate import processes for equipment (SARS references, clearing via Divergence). Process and reconcile special donations (e.g., Finlar poultry, Paltrack, PES, Gmos, etc.). Maintain accurate records for petty cash, security payments, Rentokil, Momentum, and other recurring expenses. Handle general financial queries and ad-hoc projects as required. 7. Reporting & Calendar Management Adhere strictly to the monthly, 6-monthly, and annual financial calendar (e.g., salary runs on the 25th\/28th, EMP201 deadlines, Netcash debit orders on the 15th, etc.). Ensure timely submission of all statutory returns and donor-related documentation. Qualifications & Experience Relevant tertiary qualification in Accounting, Finance, or equivalent (e.g., BCom, National Diploma in Financial Accounting). Minimum 3-5 years' experience in a similar financial accountant or bookkeeper role. Strong working knowledge of Xero (or similar cloud accounting software), payroll systems (MP Online or equivalent), and SARS eFiling. Experience with FNB online banking, bank reconciliations, and cash flow management. Solid understanding of South African tax and payroll compliance (PAYE, UIF, EMP201, IRP5, 18A certificates). Proficiency in Microsoft Excel (advanced functions, data manipulation, reconciliations). Skills & Competencies Strong attention to detail and accurate reconciliation skills. Excellent organisational and time-management abilities (must manage multiple deadlines). Integrity and confidentiality in handling financial information. Good communication skills (written and verbal) - able to liaise with Board members, project managers, donors, and external service providers.
