Job Title: Financial Administrator
Department: Finance
Reports To: Finance Manager / Financial Accountant
Location: Centurion
Employment Type: Permanent
Job Purpose
To provide accurate and efficient financial administration and support to the Finance Department. The Financial Administrator is responsible for maintaining financial records, processing transactions, reconciling accounts, assisting with accounts payable and receivable, and ensuring that financial information is captured accurately and timeously.
Key Responsibilities
1. Financial Administration
- Capture and process financial transactions accurately.
- Maintain accurate and up-to-date financial records.
- Prepare and process invoices, credit notes and payment documentation.
- Assist with accounts payable and accounts receivable functions.
- Verify supporting documentation before processing transactions.
- Maintain an organised filing and document management system.
- Assist with month-end and year-end financial procedures.
2. Accounts Payable
- Process supplier invoices and ensure they are correctly authorised.
- Match invoices to purchase orders and supporting documentation.
- Reconcile supplier statements.
- Investigate and resolve invoice discrepancies.
- Prepare payment documentation for approval.
- Maintain accurate supplier records.
3. Accounts Receivable
- Prepare and issue customer invoices.
- Allocate and capture customer payments.
- Reconcile customer accounts.
- Follow up on outstanding accounts where required.
- Assist with debtors' administration and reporting.
4. Banking & Reconciliations
- Daily and monthly bank reconciliations.
- Daily cash reconciliations
- Capture banking transactions accurately.
- Investigate discrepancies and unidentified transactions.
- Maintain supporting documentation for reconciliations.
5. Reporting & Compliance
- Assist with the preparation of financial reports and schedules.
- Provide information required for audits.
- Maintain accurate financial documentation for audit purposes.
- Ensure transactions comply with company policies and procedure.
6. General Administration
- Respond to finance-related queries from suppliers and customers.
- Maintain confidentiality of financial information.
- Assist the Finance Manager/Accountant with ad hoc financial tasks.
- Ensure deadlines are met and work is completed accurately.
- Provide administrative support to the Finance Department.
Minimum Requirements
Education:
- Grade 12 / Matric.
- Relevant qualification in Finance, Accounting, Bookkeeping or Business Administration would be advantageous.
Experience:
- 2–3 years' experience in a financial administration or accounting environment.
- Experience with accounts payable, accounts receivable and reconciliations.
- Experience in Sage evolution.
- Previous experience in a corporate environment would be advantageous.
Knowledge & Skills
- Basic accounting principles.
- Financial administration procedures.
- Accounts payable and receivable processes.
- Bank and account reconciliations.
- Microsoft Office, particularly Excel.
- Excellent attention to detail.
