Financial Controller - US hours

Our client in the US is looking for a Controller to own the accounting, financial administration, reporting, controls, and financial integrity of their personal finances, the management company, and related real estate and businewhatss entities.

The Controller will work closely with the property management team on the financial and asset management aspects of the portfolio, while establishing reliable financial controls, reconciliations, reporting, and checks and balances across the organization.

This is a hands-on role requiring strong accounting judgment, attention to detail, ownership, and the ability to communicate financial matters clearly with the client and external professionals including CPAs, bankers, lenders, tax professionals, and insurance advisors.

Responsibilities* Maintain accounting records in QuickBooks, Quicken, Propertyware, and any other accounting or financial systems in place, using consistent account structures, accurate coding, and reliable supporting documentation.

• Lead or substantially assist with the transition from existing QuickBooks systems to a new accounting platform for the management company and personal finances, including data migration, account mapping, testing, reconciliation, process redesign, and implementation support.
• Maintain the client's personal financial records and personal financial statement, including supporting schedules for real estate, investments, loans, insurance, and other material assets and liabilities.
• Manage financial administration related to loans and renewals, lender requests, mortgage balances and reconciliations, insurance, investments, property taxes, tax returns and tax support, entity financial filings, and other significant financial obligations.
• Partner closely with the property management team on CAM reconciliations, recovery calculations, recurring tenant charges, accounts receivable, property level operating results, budgets and variances, capital expenditures, rent rolls, tenant ledgers, and other financial aspects of asset management.
• Perform bank, credit card, mortgage, investment, and other account reconciliations and maintain accurate financial statements, cash reports, management reports, schedules, and supporting workpapers.
• Create and enforce checks and balances around bill processing, payments, cash movement, and vendor activity. Process bills and payments directly when appropriate and independently review or reconcile payments processed by the property management team for accuracy, authorization, coding, documentation, and completeness.
• Ensure transactions are assigned to the correct legal entity, property, GL account, and accounting period, maintain proper separation among entity bank accounts, and document intercompany activity appropriately.
• Manage payroll accounting, 401(k) administration, management fees, deposits, transfers, security deposit accounting, 1099s, tax support, applicable financial filings, and other recurring accounting functions.
• Coordinate directly with with the client, CPAs, tax professionals, bankers, lenders, insurance professionals, the Senior Property Manager, and other outside advisors regarding reporting, financing, taxes, reconciliations, exceptions, and significant financial decisions.

Requirements

• Strong accounting and financial management experience, ideally in a Controller, Senior Accountant, Family Office, Real Estate Accounting, or similar role.
• Hands-on experience managing accounting across multiple entities, properties, or related businesses.
• Strong working knowledge of QuickBooks; experience with Quicken and Propertyware is highly valuable.
• Experience with accounting system migrations, implementations, or significant process improvements.
• Strong understanding of reconciliations, financial statements, general ledger accounting, cash management, and financial controls.
• Experience with real estate accounting and property-level financial reporting, including CAM reconciliations, tenant ledgers, rent rolls, operating results, budgets, and capital expenditures.
• Experience managing financial administration involving loans, mortgages, insurance, investments, taxes, and other significant financial obligations.
• Strong attention to detail and a high level of financial accuracy and integrity.
• Ability to establish and maintain effective checks and balances and independently identify discrepancies or irregularities.
• Strong organizational skills and the ability to manage multiple financial responsibilities and deadlines across different entities.
• Exceptional spoken and written English, with the ability to communicate financial matters clearly, accurately, and professionally with senior stakeholders and sophisticated third parties.
• Comfortable working directly with business owners, CPAs, bankers, lenders, tax professionals, insurance professionals, and other external advisors.
• Strong judgment, discretion, accountability, and ability to work independently.
• Availability to work Pacific hours.
