About the Role
Cardinal Wealth is an independent wealth management and financial planning practice focused on helping clients make better financial decisions and achieve better long-term outcomes.
We are looking for an experienced Financial Planning Administrator to work closely with our Financial Advisers and take responsibility for the administration and ongoing servicing of our clients.
This is a hands-on role for someone who understands the financial planning environment, is highly organised and takes ownership of getting things done.
Key Duties & Responsibilities
- Provide administrative support to Financial Advisers and Planners.
- Manage and service a portfolio of clients.
- Prepare client files, reports, correspondence and financial planning documentation.
- Process new and existing business across investments, retirement, risk and other financial products.
- Prepare and process client and adviser instructions accurately.
- Coordinate applications and follow up outstanding requirements with clients and product providers.
- Monitor new business from instruction through to completion.
- Liaise with investment platforms, insurers, life companies and other financial service providers.
- Manage annual client reviews, fee renewals and ongoing client servicing requirements.
- Coordinate client meetings and assist with diary management.
- Maintain accurate client information, CRM records and electronic client files.
- Follow up outstanding actions and ensure tasks are completed within required timeframes.
- Assist with trust, estate and succession-related administration where required.
- Assist with basic reconciliations and financial information where required.
- Support regulatory and internal compliance requirements.
- Handle confidential client and financial information professionally.
- Contribute to improving administrative processes and the overall client experience.
Minimum Requirements
- Grade 12 / Matric.
- Minimum 3 years' experience in a financial planning, wealth management or investment advisory environment.
- Previous experience supporting a Financial Adviser, Financial Planner or Wealth Manager.
- Practical experience processing investment and/or risk new business.
- Experience managing client servicing requirements and following applications through to completion.
- Strong understanding of the administration processes within a financial advisory practice.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills.
- Ability to manage multiple clients, priorities and deadlines.
- Professional and confident when communicating with clients and product providers.
- Good working knowledge of Microsoft Outlook, Word and Excel.
- Ability to work independently and take ownership of outstanding tasks.
- Professional approach to confidential client and financial information.

- Experience with investment platforms such as Allan Gray, Ninety One or Glacier.
- Experience with life companies such as Discovery, Momentum or Sanlam.
- Experience with financial-services CRM/workflow systems such as Elite Wealth, Xplan, @Work or Workpool.
- Knowledge of FAIS, FICA, FATCA and POPIA.
- Relevant qualification in Financial Planning, Finance, Investments or a related field.
- Experience with trusts, estates or succession planning.

Important
This position requires previous experience within a financial planning, wealth management or investment advisory practice.
Candidates whose experience is limited to general administration, accounting, debtors/creditors, banking or other non-advisory administration environments will not be considered.
