Fleet ManagerJob Overview

The Fleet Manager is responsible for overseeing the day-to-day management, maintenance, compliance, and operational readiness of the company's vehicle fleet. This role ensures that all buses remain safe, roadworthy, legally compliant, and available for service by coordinating maintenance schedules, managing suppliers and contractors, maintaining parts inventory, and responding promptly to operational issues.

Key ResponsibilitiesFleet Maintenance & Compliance

  • Plan, organise, and monitor preventative maintenance schedules, including MOTs, PMIs, servicing, and inspections.
  • Ensure all fleet vehicles comply with legal and company safety standards.
  • Maintain accurate maintenance records and ensure all compliance documentation is up to date.
  • Schedule repairs and minimise vehicle downtime through effective planning.

Parts & Inventory Management

  • Source and order bus parts, consumables, and maintenance supplies.
  • Maintain appropriate stock levels to support fleet operations.
  • Track inventory, monitor usage, and ensure accurate stock records are maintained.
  • Liaise with suppliers to obtain competitive pricing and ensure timely delivery of parts.

Supplier & Contractor Management

  • Build and maintain strong working relationships with maintenance providers, garages, and specialist contractors.
  • Coordinate and oversee work carried out by external maintenance suppliers.
  • Manage contractors responsible for yard maintenance, bus cleaning, and audio-visual equipment.
  • Monitor contractor performance, quality of work, and adherence to agreed service levels.

Breakdown & Defect Management

  • Respond promptly to driver-reported vehicle defects and breakdowns.
  • Assess reported issues and coordinate appropriate repairs or recovery.
  • Prioritise repairs based on operational impact and safety requirements.
  • Maintain clear communication with drivers throughout the repair process.

Driver Compliance

  • Conduct regular driver licence checks to ensure all drivers remain legally entitled to operate company vehicles.
  • Maintain records of licence checks and ensure compliance with company policies and legal requirements.
  • Escalate any licence or compliance concerns to senior management.

Yard & Fleet Operations

  • Oversee the general maintenance and organisation of the vehicle yard.
  • Coordinate cleaning schedules to ensure buses are presented to a high standard.
  • Ensure audio-visual systems and onboard equipment are maintained and operational.
  • Support continuous improvements to fleet efficiency, reliability, and presentation.

Skills & Experience

  • Previous experience in fleet, transport, or vehicle maintenance management.
  • Good understanding of vehicle maintenance schedules, MOTs, PMIs, and fleet compliance requirements.
  • Strong organisational and planning skills with the ability to manage multiple priorities.
  • Excellent communication and relationship management skills.
  • Experience managing suppliers and contractors.
  • Competent with inventory management and record keeping.
  • Strong problem-solving skills and the ability to make decisions under pressure.
  • Proficient in Microsoft Office and fleet management software (desirable).
