We are looking for a Front Office Administrator to be the face and voice of our business. This isn’t just a desk job; you will be the vital link between our customers, our workshop team, and our external partners. You must enjoy multitasking and variety in your day to day work.
As we operate in the cycling and sports community, the ideal candidate is someone who "gets" the lifestyle. Whether you are an active cyclist or have a background in the sports industry, you’ll use that passion to provide authentic service to our clients.
What You’ll Do
- Customer Experience: Greet walk-in clients, answer phones, and manage inquiries across email and WhatsApp with exceptional etiquette.
- Sales & Lead Management: Attend to leads on social media and other channels, ensuring all inquiries are properly processed and converted into sales.
- Workflow Management: Coordinate the "Book-in" process (taking photos, creating quotes, and unboxing bikes) and liaise daily with the Workshop Manager to provide customers with accurate ETAs.
- Administration & Finance: Process transactions via CRM and accounting systems, manage petty cash, handle purchase orders, and perform statement reconciliations.
- Logistics: Coordinate with suppliers and courier companies to ensure smooth incoming and outgoing shipments.
- Creative & Marketing Support: Act as the internal liaison for our marketing agent, providing him with customer experience stories and feedback on statistics
What we are looking for, the Basics:
- High level of computer literacy andexcellent communication skills in English (both written and verbal) and conversational Afrikaans**.**
- Advanced proficiency in Microsoft Excel, Word, and Outlook & AI:
- High level of experience with Email and Excel programs.
- Strong understanding of CRM software (Airtable is an advantage) and accounting software (Sage Accounting).
- Ability to leverage AI tools (such as CoPilot, Gemini or ChatGPT) to improve productivity, draft communications, and streamline daily tasks**.**

The Detail:
- Exceptional attention to detail and excellent spelling and grammar(English) —you notice the small things, from a typo in a quote to a specific detail on a client's bike.
- Service-Oriented: You genuinely enjoy helping people and providing a high-end customer experience.
Advantageous Attributes
- Industry Passion: Being a cyclist, sport-orientated, or having a background in the cycling/sports industry is a significant advantage.
- Sales Savvy: Experience in sales or marketing coordination.
