BACKGROUND

Founded in 1997 by President Nelson Mandela, HRH Prince Bernhard of the Netherlands and Dr Anton Rupert, Peace Parks Foundation is a non-profit organisation pioneering conservation at scale across southern Africa.

Working through Transfrontier Conservation Areas that span national borders, Peace Parks connects protected areas, supports biodiversity conservation and ecological resilience, strengthens local economies and promotes regional peace and stability. Its holistic approach is built on three pillars: conservation at scale, community development and conservation finance, ensuring that protected areas deliver long-term ecological and economic value.

To date, Peace Parks has supported governments in establishing 780 000 km² of Transfrontier Conservation Areas across southern Africa. JOB PROFILE

The Graphic Design and Production Coordinator is responsible for creating high-quality visual materials that support Peace Parks Foundation’s communications, marketing and organisational needs.

The role provides hands-on graphic design, document formatting and technical production support across reports, presentations, proposals, publications, digital materials and marketing collateral. Working within established brand guidelines and approved templates, the role translates briefs and content into clear, professional and visually engaging outputs.

The role also provides technical support for the development of Microsoft Office templates, editable PDF documents and print-ready artwork. It coordinates the practical production requirements of assigned design projects, working with internal stakeholders and approved external suppliers to ensure that final materials are accurate, technically sound and delivered to the required standard.

The Graphic Design and Production Coordinator is responsible for managing their assigned design workload, communicating progress clearly and raising technical or delivery concerns to the Marketing, Branding & Communications Manager.

JOB PURPOSE

Produce high-quality, brand-aligned visual materials and provide specialist design, formatting and production support to the Communications team.

DUTIES AND RESPONSIBILITIES

Graphic Design

  • Design and format reports, presentations, proposals, brochures, fact sheets and other communications materials.

  • Translate approved content and creative briefs into clear, engaging and professionally designed materials.

  • Develop visual concepts, layouts, infographics and supporting graphic elements for print and digital use.

  • Adapt approved designs and templates for different formats, audiences and communication channels.

  • Prepare artwork for print, digital publication and online distribution.

Document and Template Development

  • Develop technically sound, user-friendly Microsoft PowerPoint and Word templates in line with approved brand specifications.

  • Create accessible, editable and interactive PDF documents and forms.

  • Format complex reports, proposals and publications containing tables, charts, images and other visual elements.

  • Troubleshoot formatting, compatibility and functionality issues across Microsoft Office and Adobe Acrobat.

  • Provide practical technical support to colleagues using approved templates.

  • Recommend improvements to templates based on functionality, usability and production requirements.

Production Coordination

  • Prepare accurate, print-ready artwork in accordance with supplier specifications.

  • Obtain and assess technical specifications, proofs and samples for assigned production projects.

  • Liaise with approved printers and production suppliers on artwork requirements, file preparation and technical corrections.

  • Review proofs for colour, layout, image quality, dimensions, finishing and other production specifications.

  • Make required artwork corrections before final production.

  • Provide technical input on paper, format, finishing and other production considerations.

  • Confirm that final production files correspond with the approved design and content.

  • Maintain an organised library of approved design assets and templates.

  • Identify potential delays, competing priorities or delivery risks early and escalate them appropriately.

  • Build constructive working relationships and communicate clearly, courteously and professionally with colleagues, stakeholders and external service providers.

  • Follow up confidently and diplomatically to obtain the information, feedback and approvals required to keep projects moving.

Quality Assurance

  • Ensure that all work produced by the role follows approved brand guidelines, templates and specifications.

  • Maintain consistency in typography, layout, formatting, imagery and visual hierarchy within assigned design projects.

  • Check all final artwork for accuracy, resolution, alignment, pagination, formatting and technical readiness.

  • Correct design and formatting issues identified during the review and approval process.

  • Ensure that source files are properly packaged and supplied in the required formats.

  • Conduct final technical checks before files are submitted for approval, publication or production.

Design Project Delivery

  • Manage multiple assigned design requests and prioritise work according to agreed deadlines.

  • Clarify briefs, specifications, formats and deliverables before beginning design work.

  • Communicate progress and technical requirements clearly to project stakeholders.

  • Follow up on content, images and feedback required to complete assigned design work.

  • Alert the Marketing, Branding & Communications Manager when incomplete briefs, technical limitations or competing design priorities may affect delivery.

  • Maintain orderly working files and submit final approved files for inclusion in the organisation’s central asset library.

MINIMUM REQUIREMENTS

  • Relevant qualification in graphic design, visual communication, multimedia design or a related field.

  • At least three years’ relevant experience in graphic design and brand coordination.

  • Strong proficiency in Adobe Creative Cloud, particularly InDesign, Illustrator, Photoshop and Acrobat.

  • Advanced proficiency in Microsoft PowerPoint and Word, including the development of branded templates.

  • Demonstrated experience designing and formatting reports, presentations, proposals, brochures and other corporate communication materials.

  • Experience preparing print-ready artwork and working with professional print specifications.

  • Sound knowledge of typography, layout, visual hierarchy, image preparation and document design.

  • Experience creating editable, accessible or interactive PDF documents.

  • Experience managing brand assets, templates and design files.

  • Ability to manage multiple requests, work to deadlines and maintain a high level of accuracy and attention to detail.

  • Strong interpersonal and communication skills, with the ability to provide practical brand guidance to colleagues and liaise with external suppliers.

  • A portfolio demonstrating relevant corporate, editorial and digital design work.
