1. JOB PURPOSE
To accurately process all Goods Received Vouchers (GRVs), maintain supporting documentation, perform administrative duties, and ensure that inventory receipts, supplier deliveries, and related records are captured correctly and timeously in the company system.
2. MINIMUM REQUIREMENTS
Education: Grade 12 / Matric (compulsory)
Certificate in Administration, Logistics, Stores Control, or Supply Chain Management (advantageous)
Experience: 2–3 years’ experience in a GRV, stores, warehouse, or administrative role
Experience in a manufacturing or textile environment preferred
Computer Skills: MS Excel, Word, Outlook
Experience with ERP / inventory systems (e.g., Syspro, Sage, Oracle, SAP, or similar)
3. KNOWLEDGE REQUIRED
- GRV procedures and inventory receiving processes
- Purchase orders and supplier documentation
- Stock control principles
- Basic accounting and invoice matching
- Filing and document control procedures
- Health and safety requirements within stores and warehouse areas
4. KEY RESPONSIBILITIES
GRV Processing
Core
- Receive delivery notes and supporting supplier documents.
- Verify quantities received against purchase orders.
- Capture GRVs accurately on the company system.
- Report shortages, damages, or discrepancies immediately.
- Ensure all GRVs are authorised according to company procedures.
Invoice & Documentation Control
Daily
- Match GRVs to supplier invoices and purchase orders.
- Prepare documentation for submission to Accounts Payable.
- Maintain accurate records of all receipts and supplier documents.
- File and archive documents in accordance with company procedures.
Administrative Support
Support
- Prepare reports relating to goods received and outstanding deliveries.
- Update spreadsheets and tracking logs.
- Assist with stock take preparation and reconciliation.
- Handle telephone and email queries relating to deliveries.
- Provide general administrative support to the stores / procurement department.
Compliance & Control
Important
- Ensure adherence to company receiving procedures.
- Maintain confidentiality of supplier pricing and company information.
- Participate in internal audits and stock investigations.
- Follow all health and safety requirements.
