Join Our Team
THE Pretoria Hotel is looking for a friendly, professional, and customer-focused Receptionist to join our Front Office team. As the first point of contact for our guests, the successful candidate will play a key role in creating memorable first impressions by delivering exceptional customer service and ensuring a seamless guest experience from check-in to check-out.
We are seeking an individual who thrives in a fast-paced hospitality environment, has excellent communication skills, and is committed to delivering service excellence.
Key Responsibilities
Front Office Operations
- Welcome guests warmly and professionally upon arrival. Perform efficient guest check-ins and check-outs in accordance with hotel procedures. Process reservations, room allocations, amendments, and cancellations accurately. Handle guest enquiries, requests, and complaints promptly and professionally. Answer and direct incoming telephone calls and email enquiries. Maintain accurate guest records and update the hotel property management system. Process guest payments, issue invoices, and balance cash and card transactions. Ensure the reception area is clean, organised, and professionally presented at all times.
Guest Services
- Provide guests with information about hotel facilities, services, local attractions, and transportation. Coordinate with Housekeeping, Maintenance, and Food & Beverage departments to ensure guest needs are met. Assist with luggage arrangements, wake-up calls, taxi bookings, and other guest requests. Promote hotel services, restaurant specials, conference facilities, and other amenities to maximise revenue.
Administrative Responsibilities
- Prepare daily arrival and departure reports. Maintain accurate filing and reservation records. Assist with night audit procedures when required. Ensure compliance with hotel policies, procedures, and data confidentiality requirements.
Minimum Requirements
- Grade 12 (Matric) or equivalent. Certificate or Diploma in Hospitality Management, Tourism, or a related field will be advantageous. Minimum of 2 years' experience as a Receptionist or Front Office Receptionist in a hotel environment. Excellent verbal and written communication skills in English; additional South African languages will be advantageous. Computer literacy, including Microsoft Office and experience with hotel property management systems. Excellent numerical accuracy and cash-handling skills. Ability to work shifts, including weekends, public holidays, and night shifts when required.
