Job Overview
To provide efficient administrative support to the Human Resources Department by maintaining accurate employee records, coordinating HR processes, preparing employment documentation, supporting recruitment and onboarding, administering leave and payroll inputs, and ensuring compliance with company policies and applicable labour legislation.The employee will be performing the following duties for San Trading and Abathwa.
Key Responsibilities
- Maintain accurate employee records and personnel files.
- Prepare HR documentation, including employment contracts, appointment letters, confirmation letters, salary adjustment letters, transfer letters, warning letters, and termination documents.
- Capture and maintain employee information on the HR information system (HRIS).
- Provide administrative support during recruitment, including advertising vacancies, scheduling interviews, and preparing interview documentation.
- Coordinate employee onboarding and induction processes.
- Administer leave records and monitor attendance.
- Prepare and submit payroll input information, including new appointments, terminations, leave, overtime, and salary changes.
- Assist with employee benefits administration and maintain related records.
- Support performance management by coordinating probation reviews and performance appraisal documentation.
- Provide administrative support for disciplinary hearings, grievances, counselling sessions, and other employee relations matters.
- Assist with Employment Equity and Skills Development administration, including maintaining records and preparing reports.
- Compile and distribute monthly HR reports and statistics.
- Ensure compliance with company policies and South African labour legislation.
- Maintain confidentiality of employee information and HR records.
- Perform general HR administrative duties and provide support to the HR Officer and HR Manager as required.
Minimum Requirements
Qualifications
- National Diploma or Degree in Human Resource Management or a related field.
Experience
- 2–3 years' experience in an HR Administration role.
Knowledge
- Basic Conditions of Employment Act (BCEA)
- Labour Relations Act (LRA)
- Employment Equity Act (EEA)
- HR administration principles
- Payroll administration
- HRIS systems
- Microsoft Office Suite
