SUMMARY: The HR Administrator is responsible for providing comprehensive administrative support to the Human Resources department within a hospitality environment. The role ensures the efficient administration of HR processes across the employee lifecycle, including recruitment, onboarding, employee records, payroll support, training coordination, and compliance with South African labour legislation. The HR Administrator plays a vital role in fostering a positive employee experience while supporting operational departments in achieving exceptional guest service standards.
Key Responsibilities
- Maintain accurate employee records, personnel files, and HR databases.
- Assist with the recruitment process by advertising vacancies, screening CVs, scheduling interviews, conducting reference checks, and preparing employment documentation.
- Coordinate the onboarding and induction of new employees.
- Prepare employment contracts, offer letters, and all HR-related correspondence.
- Administer leave, attendance, timekeeping, and staff rosters where applicable.
- Capture and update employee information on HR and payroll systems.
- Support payroll by ensuring all employee information, overtime, leave, and deductions are submitted accurately and on time.
- Coordinate employee training, skills development, and statutory compliance training.
- Maintain training records and assist with Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions.
- Assist with Employment Equity (EE) reporting and B-BBEE administration where required.
- Ensure compliance with the Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA), Employment Equity Act (EEA), and company policies.
- Prepare documentation for disciplinary hearings, grievances, performance management, and incapacity processes.
- Monitor probation periods and performance review schedules.
- Assist with employee wellness initiatives and staff engagement activities.
- Respond professionally and confidentially to employee HR-related queries.
- Produce HR reports and assist with internal and external audits.
- Support HR projects and departmental initiatives.
- Maintain confidentiality of all employee and company information.
POSITION INFO: Minimum Qualifications National Diploma or Degree in Human Resources Management, Industrial Psychology, or a related field. HR certification is advantageous. Experience Required Minimum of 2-3 years' experience as an HR Administrator, preferably within a hotel, lodge, resort, or hospitality environment. Experience with recruitment, onboarding, and employee administration. Previous payroll administration support experience is advantageous. Experience using HRIS and payroll software. Knowledge & Skills Sound knowledge of South African labour legislation, including BCEA, LRA, EEA, and Skills Development legislation. Understanding of hospitality HR operations, including shift-based staffing and seasonal recruitment. Strong administrative and organisational skills. Excellent communication and interpersonal skills. High attention to detail and accuracy. Ability to maintain confidentiality and professionalism. Strong computer literacy, including Microsoft Office (Word, Excel, Outlook, and PowerPoint). Experience with HRIS and payroll systems such as Sage VIP, Payspace, or similar. Ability to prioritise workload and meet deadlines in a fast-paced environment. Eligible to work in South Africa. Preferred Competencies Experience within a luxury lodge, hotel, or resort environment. Knowledge of Skills Development, Employment Equity, and B-BBEE reporting. Experience coordinating staff accommodation, uniforms, and employee welfare programmes. Familiarity with hospitality HR systems and workforce planning. Ability to support multiple departments in a fast-paced operational environment. Strong understanding of hospitality service standards and company culture.
