Job description

HR Administrator

Purpose of the Role

The HR Administrator provides administrative and operational support to the Human Resources function by ensuring accurate employee records, compliance with labour legislation, efficient recruitment administration, payroll support, and employee lifecycle management. The role contributes to building a compliant, engaged, and high-performing workforce.

Key ResponsibilitiesRecruitment & Onboarding

  • Advertise vacancies on approved recruitment platforms.
  • Screen applications and shortlist candidates.
  • Schedule interviews and coordinate candidate communication.
  • Conduct reference checks.
  • Prepare employment contracts and offer letters.
  • Facilitate employee onboarding and induction.
  • Maintain new employee documentation.

Employee Administration

  • Maintain accurate employee records and personnel files.
  • Update employee information on HR systems.
  • Process promotions, transfers, salary adjustments, and terminations.
  • Manage probation review schedules.
  • Ensure confidentiality of employee information.

Attendance & Leave Administration

  • Maintain attendance records.
  • Monitor absenteeism and lateness.
  • Administer annual, sick, family responsibility, maternity, and unpaid leave.
  • Prepare monthly leave reports.

Payroll Support

  • Prepare payroll input including:
  • New employees
  • Terminations
  • Leave adjustments
  • Overtime
  • Allowances
  • Deductions
  • Verify timesheets and attendance before payroll processing.
  • Resolve payroll queries.

Performance Management

  • Coordinate probation reviews.
  • Maintain performance appraisal records.
  • Track performance review completion.
  • Assist managers with performance documentation.

Employee Relations

  • Prepare disciplinary documentation.
  • Schedule disciplinary hearings.
  • Record minutes during hearings.
  • Maintain disciplinary records.
  • Support grievance processes.
  • Assist with labour compliance documentation.

Training & Development

  • Coordinate employee training.
  • Maintain training records.
  • Monitor mandatory training completion.
  • Arrange induction sessions.
  • Assist with learnership and internship administration.

Reporting

Prepare weekly and monthly HR reports, including:

  • Headcount
  • Staff turnover
  • Recruitment status
  • Leave balances
  • Absenteeism
  • Training completed
  • Disciplinary matters
  • Probation reviews
  • Vacancies

General Administration

  • File and archive HR documentation.
  • Manage HR stationery and forms.
  • Coordinate employee communication.
  • Assist with HR projects.
  • Perform any other HR administrative duties as assigned.

Minimum RequirementsQualifications

  • Diploma or Degree in Human Resources Management, Industrial Psychology, Business Administration, or a related field.

Experience

  • Minimum 3 years' experience in an HR administration role.
  • Experience in payroll administration is advantageous.
  • Experience in manufacturing or hospitality will be beneficial.
