Job description

HR Administrator

The purpose of this role is to provide HR administrative assistance to the Motus Head Office/Shared Services division within the Motus Group.

The HR Administrator will play a pivotal role in delivering administrative support across the different departments within the Motus Head Office/Shared Services division.

The successful candidate will report to the Executive Human Capital: Head Office & Shared Services and will join a dynamic and highly skilled HR Team.

The HR Administrator is responsible for providing administrative support across the employee lifecycle, including recruitment, onboarding, employee records management, compliance, and HR reporting. The role ensures efficient HR operations while maintaining confidentiality, accuracy, and compliance with organizational policies and employment legislation.

DUTIES / KEY RESPONSIBILITIES:

ADMINISTRATION:

Recruitment

  • Assist with recruitment administration (posting of adverts, setting up of interviews, sending regret communication, etc.).
  • Support with interviews for non-managerial positions as and when required.
  • Ensure a positive and professional candidate experience throughout the recruitment process.
  • Launch appropriate psychometric assessments and co-ordinate logistics for MIE checks.

Onboarding & Offboarding

  • Support with compilation of onboarding packs for new starts.
  • Follow up with new starts on the Confirmation of Policies document and save on the shared drive.
  • Send onboarding and welcome emails to new starts.
  • Create new employee’s ESS profile.
  • Provide support in gathering all required offboarding documents.
  • Set up exit interviews to be conducted by the HRBP.

Learning & Development

  • Maintain employee profiles on the training platform; i.e. registering and deleting.
  • Support with coordination arrangements of training initiatives.

Reporting

  • Compile the monthly Training Report and submit it to Group HR and Finance timely.
  • Compile the monthly YES Learner Report and send it to relevant stakeholders in a timely manner.
  • Ensure accuracy and completeness of monthly training reports, allowing for timely monitoring and completion of training commitments.

YES Learners

  • Responsible for the onboarding and offboarding of YES Learners.
  • Coordinate and liaise with YES Learners during the duration of their Learnership.
  • Conduct quarterly check-in meetings with YES Learners and provide feedback to the HR Executive.
  • Coordinate applicable YES learner training, including the driver's license project.

Compliance & Governance

  • Ensure that all employee files and all other documentation are saved on the shared drive in line with recordkeeping requirements.
  • Maintain accurate and complete employee records and filing systems.

Customer Service

  • Provide customer service, advice and support on HR Admin matters to all internal and external stakeholders in a professional manner.
  • Resolve customer queries in line with turnaround time.

EDUCATION:

  • Grade 12 and relevant tertiary qualification in Human Resources (National Diploma or a Bachelors' degree).

EXPERIENCE, KNOWLEDGE, AND SKILLS REQUIRED:

  • Minimum 1 - 2 years’ relevant HR administration experience
  • SAGE300 system experience (advantageous)
  • Experience working on Onboarding and Training platforms (advantageous)
  • Proficiency in MS Office, Word & Excel
