Job Title: HR and Payroll Administrator
Posting Date: 10 September 2026
A vacancy exists for the position of a HR and Payroll Administrator to manage employee records, contract of employment processes timesheets, and ensures accurate, legally compliant salary payments. To provide administrative and general HR support to the HR Manager
Minimum Requirements:
· Grade 12
· Diploma in Human Resources
· 2-5 years’ experience in HR & Payroll
· Strong computer literacy, particularly in Microsoft Office (Excel, Word, Outlook). Familiarity with payroll and HR software systems—such as Sage Payroll
Key Responsibilities:
Process monthly payroll information on the VIP Payroll system.
· I Receive timesheets from line managers for each project.
· Check that timesheets signed off by line managers and project managers.
· Receive supporting documentation with regards to increases, salary changes, advances, new employees, and terminations from HR Manager and capture all the changes.
· Capture overtime on VIP Payroll.
· Capture deductions or advances on VIP payroll.
· Capture leave on VIP payroll in correct category.
· Prepare and maintain related payroll reports and records.
Print and distribute monthly payslips
· I After payroll processing, print the monthly payslips and distribute them to the relevant employees.
· Sort out site payslips and give them to the responsible project managers
· File all the other payslips that were not collected
Administrative Duties
· Provide clerical and administrative support to Human Resources Manager.
· Collect, sort and distribute incoming correspondence, including CV’s.
· Organize and maintain electronic and paper files.
· Maintain Human Resources calendar including birthdays.
· Maintain administrative forms and manuals.
· Prepare employee contracts
· Ensure appropriate security for all HR related information
· Ad Hoc duties as required to support the HR manager
Databases
· Maintain employee records (permanent and fixed term) on electronic HR databases
· Follow up with relevant people as necessary, to ensure resolution of problems relating to incomplete, in-accurate or missing personnel information
· Ensure that all information on the HR Databases is up to date, accurate and relevant
Employees Files
· Maintaining the employee file cabinet that contains files of all employees both permanent and fixed term
· Ensuring that all documentation in the files is correctly filed, accurate and up to date
· Ensuring appropriate security for the employee files
Maintaining and Keeping Records
· Maintaining Milele Metal’s Employees Policies and Forms
· Maintaining accurate records of employee leave forms (paid and unpaid leave)
· Maintaining records relating to new employees and termination of employment
· Filing all CV’s that come with applications in the CV file
Employee Communication
· Compose and distribute routine written correspondence from human resources
· Draft new offer letters and contracts as directed by the Human Resources Manager
· Draft employee letters with regards to salary, benefits or bonus adjustments as directed by the HR manager.
· Draft any other ad hoc letters as directed by the Human Resources Manager.
Recruitment and Selection
· Work closely with the Human Resources Manager to support all recruitment activities.
· Set up interviews and issue relevant communication as required by the Human Resources Manager.
· Manage the database/file of CV for potential employees.
Bargaining Council for the Engineering Industry
· Compile and submit monthly contribution returns via dedicated web portals
· Ensure data accuracy regarding staff changes, wage data and levy calculations to avoid compliance orders or penalty interest
· Ensure timeously payment of return levies to the council
Minimum Requirements
· Matric / Grade 12
· Firefighting & First Aid Certificate
· Relevant Occupational Health and Safety Courses
· Valid Alcohol Breathalyser / Alcohol Blowing Certificate
