SUMMARY: POSITION INFO: Key Responsibilities Provide day-to-day HR support to employees, supervisors and management. Maintain accurate employee records, personnel files and HR documentation. Prepare employment contracts, appointment letters, transfer letters, promotion letters, confirmation letters and termination documentation. Ensure HR records are complete, accurate and compliant with company policies and labour legislation. Maintain HR trackers, dashboards and employee movement reports. Support the HR Manager with HR audits, compliance checks and document control. Coordinate recruitment processes for operational, technical, supervisory and administrative roles. Assist with job specifications, vacancy adverts, interview scheduling and candidate communication. Screen CVs and assist with shortlisting. Coordinate interviews, reference checks and candidate feedback. Prepare appointment documentation and ensure approvals are obtained. Coordinate onboarding and induction for new employees. Track probation reviews and ensure completion within required timelines. Support line managers with employee relations matters. Assist in preparing disciplinary notices, hearing packs, warnings and outcome letters. Coordinate disciplinary hearings and grievance processes. Ensure disciplinary and grievance processes are fair, consistent and procedurally correct. Support workplace investigations and ensure accurate record keeping. Assist with preparation for CCMA or bargaining council matters where required. Provide guidance to supervisors on company policies, disciplinary codes and workplace conduct. Use digital HR systems to maintain accurate employee data. Support HR reporting through HRIS, payroll, time and attendance or employee self-service platforms. Assist employees and managers with basic HR system queries. Capture and update employee information on relevant HR platforms. Support digital onboarding, leave management, attendance tracking and document management processes. Ensure HR system data is accurate, complete and updated timeously. Assist in identifying opportunities to improve HR processes through digital tools. Prepare and submit payroll inputs accurately and on time. Capture and verify information relating to overtime, leave, absenteeism, employee changes, deductions and allowances. Assist employees with payroll and benefits queries. Liaise with payroll regarding new appointments, terminations, salary changes and employee movements. Maintain accurate payroll-related records. Assist with identifying training needs across the business. Coordinate training schedules, attendance registers and training records. Support implementation of the annual training plan. Maintain training records for audit and reporting purposes. Assist with learnerships, internships, apprenticeships or workplace learning programmes where applicable. Support skills development reporting and compliance requirements. Support the implementation of the company’s performance management process. Track completion of probation reviews, performance reviews and development plans. Assist managers with performance improvement documentation. Maintain accurate performance management records. Support a performance-driven culture across the manufacturing site. Support compliance with applicable labour legislation and internal HR policies. Assist with Employment Equity and Skills Development administration where required. Compile monthly HR reports including headcount, recruitment, absenteeism, turnover, disciplinary matters, training and employee movements. Identify HR trends and escalate risks to the HR Manager. Ensure all HR documentation is accurate, confidential and audit ready. Provide HR support to production, warehouse, quality, maintenance and support departments. Assist supervisors with attendance, absenteeism, overtime and workplace conduct matters. Support employee communication, site engagement and employee wellness initiatives. Spend time on the production floor where required to understand operational HR matters. Escalate employee relations, morale, productivity or compliance concerns to the HR Manager.
