Purpose of Role
The Allan & Gill Gray Philanthropy Africa group has implemented a shared service organisation focusing on transactional services for Finance, HR, and IT. The Shared Service HR officer will be part of the People Services team and will be responsible for HR shared service support for the Africa Group of Philanthropies which includes RSA and East Africa.
Objectives of Role
As the Shared Service HR officer, you will be responsible for performing the following activities:
Customer Excellence
- Work closely with the relevant stakeholders to set expectations and provide services exceeding the agreed standard.
- Contribute to customer satisfaction for services delivered by the Shared Services HR Team.
- Identify problems in your area of responsibility, and identify workable solutions to achieve customer excellence
Talent Acquisition and Onboarding
- Manage recruitment process in partnership with the HRBP’s across all entities ensuring delivery to the talent brief ensuring high-quality with a strong focus on:

- Screening interviewing techniques
- Response handling and feedback
- Recruitment and selection processes and techniques
- Sourcing techniques and method
- Assessment coordination and placement of candidates
- Screening interviewing techniques
- Promote diversity within hiring practices aligned to the relevant brief
- Provide administrative support to ensure a seamless end-to-end Talent Acquisition process such as supplier invoice payment submissions.
- Adhere to policy and relevant legislation
- Ensure induction is timeously conducted for new recruits
- Help execute on agreed promotions and talent movement
- Conduct all admin activities related to talent onboarding ensuring a positive talent experience
- Facilitate People Service onboarding sessions for new Talent.
HR Administration and Reporting
- Ensure accurate talent record management
- Consult with third party providers in query benefit resolution
- Maintaining employee files and records ensuring a methodical filing process aligned to audit requirements
Talent Query management
- Provide exceptional talent support and service aligned to standard operating procedures and SLA's
Stakeholder management:
- Build and maintain relationships with Shared Service Stakeholders, entity management, internal clients, and external service providers
Performance Management
- Effectively support HRBP’s in facilitating the end-to-end Performance Management Cycle.
Statutory Reporting
- Facilitate statutory report submission/upload through workforce reporting (e.g., Skills, Training, Employment equity)
- Adhere to the necessary timelines and project plan
General Operational and HR Services
- Support HR Lead and provide input into monthly reports to stakeholders.
- Actively participate in HR operational planning
- Drive continuous improvement through streamlining and optimising relevant operational practices, processes, and systems
- Control cost and take the necessary action to mitigate any financial risks or non-compliance
Experience and Qualifications
Qualifications and Knowledge Required
- Bachelor’s Degree
- Advanced Computer Literacy in full MS office Suite (Excel , word , PowerPoint)
- SAGE People system knowledge (desirable)
- SAGE ESS working knowledge (desirable)
- Exposure to AI tools such as copilot and Claude (advantageous)
Experience required
- At least 5 years’ experience in a similar role
- Shared services HR generalist experience (Advantageous)
- HR Experience supporting in East Africa Countries (desirable)
- Recruitment/Talent acquisition experience (Essential)
- Recruitment ATS system management experience and market mapping
A strong customer centric approach with a high service delivery mind set
