Reporting to the Team Lead HR Operations, the HR Ops Administrator plays a key supporting role within the Human Resources function, working closely with the HR Business Partners and other HR stakeholders, to ensure the smooth operation of HR processes and ensuring SOX compliance. The role focuses on maintaining accurate and up-to-date employee records, monitoring HR information systems for data integrity, and ensuring compliance with internal standards and policies. A strong emphasis is placed on quality control and process effectiveness to support informed decision-making and operational efficiency.

What You’ll Do You’ll take ownership of work that gives us our competitive edge, including:

  • End-to-end processing of employee lifecycle transactions in Workday, including appointments, changes, transfers, terminations, etc
  • Maintain accurate, complete, and compliant employee data in Workday, aligned to internal controls, governance frameworks, and SOX requirements
  • Act as a first-line point of contact for HR Ops teams and data-related queries (within scope), escalating where appropriate
  • Perform regular data audits, validations, and reconciliations to identify inaccuracies, duplication, and data gaps across HR systems
  • Investigate root causes of data issues and work closely with HR Ops, HRIS, Payroll, Finance, and Compliance teams to resolve discrepancies
  • Support system testing, validation, and post-implementation checks following Workday updates or process enhancements
  • Prepare audit evidence and support internal and external audits related to HR data and controls
  • Run standard and ad-hoc reports from Workday to support HR Operations, Payroll, and leadership decision-making, ensuring report accuracy
  • Identify recurring errors, data trends, and process weaknesses, and recommend continuous improvement initiatives focused on efficiency and risk reduction
  • Ensure strong data hygiene practices to support compliance and controlled environments (e.g. SOX, payroll controls, audit cycles)
  • Coordinate and maintain accurate data inputs across multiple stakeholders, including Payroll, Finance, HRIS, Employee Benefits, IT, Facilities, and other HR partners
  • Communicate with employees to request, validate, and follow up on documentation related to HR processes
  • Schedule and prepare exit documentation and support HRBPs ahead of exit interview meetings
  • Coordinate probation check-ins, reviews, and job change expectation sessions
  • Prepare confirmation letters and other standard HR documentation for current and former employees
  • Perform ad-hoc HR administration as required to support HR Operations

What You’ll Bring You’re someone who brings:

  • Relevant tertiary qualification in: Human Resources, Information Systems, Business Administration. Data / Operations Management
  • 3-5 years’ experience in providing HR administration/Ops support
  • 3 - 5 years’ experience using HR Admin/Payroll systems: Workday, PaySpace
  • HR systems governance & integrations awareness: Understanding of HRIS governance principles, data flows, and integrations between Workday and downstream systems (e.g. Payroll, Finance, Benefits), with the ability to assess data impacts and risks.
  • Knowledge and experience using all MS Office applications – Word, Excel, Outlook
  • Strong verbal and written communication skills, with the ability to convey complex ideas clearly and effectively
  • Experience working collaboratively in cross-functional and cross-location teams, with a focus on achieving shared goals
  • Expertise in managing multiple projects simultaneously, with a track record of delivering on time and within scope
  • Exceptional attention to detail, ensuring high standards of quality in all outputs
  • Ability to adapt quickly to changing environments and priorities, maintaining effectiveness in dynamic situations

Desirable Skills You’ve Got Up Your Sleeve It would be great if you also have some of the following skills:

  • Formal Workday training or certifications
  • Exposure to HR reporting, audits, or compliance environments
  • Advanced Excel skills (e.g. pivot tables, lookups) for data validation and analysis
  • Confidentiality is non-negotiable with high levels of integrity
  • Ability to work efficiently and effectively across the business and HR Department
  • Ability to communicate effectively across all levels of the business
  • Knowledge of relevant labour legislation in relation to HR administration (BCEA, LRA & SDA)
  • Ability to prioritize and plan your daily schedule
  • Ability to multi-task in a changing environment
  • Ability to work under pressure in a fast-paced environment
  • Strong commitment to providing exceptional service
