Job description
We are looking for an experienced and hands on HR & Payroll Specialist to join our growing accounting and advisory practice.
This is a newly established role within our business and presents an exciting opportunity for the right person to help us develop and grow our HR and payroll offering to clients across South Africa.
We already provide payroll and accounting services to a growing client base, and we are looking for someone who can take ownership of the HR function - assisting clients with their day to day HR requirements while ensuring that their employment practices, documentation and processes are compliant with South African labour legislation.
The successful candidate will work closely with business owners and management teams, providing practical HR support across the full employee lifecycle. This will include everything from employment contracts and onboarding through to employee relations, disciplinary processes, terminations, HR administration and payroll.
This is an ideal opportunity for someone who enjoys being hands on, organised and client facing, and who wants to play a key role in developing an HR service offering within an established accounting business.
Key Responsibilities:
HR Advisory & Client Support:
- Act as a trusted HR point of contact for our clients and their management teams.
- Assist clients in ensuring that their employment practices comply with applicable South African labour legislation.
- Advise on employment contracts, policies, procedures and employee documentation.
- Assist management with employee-related queries and provide guidance on appropriate processes.
- Identify potential HR and labour risks and recommend appropriate action.
- Escalate complex or specialist matters where external legal or labour-relations advice is required.
Employee Relations:
- Assist with disciplinary processes, including preparation of notices, charges and supporting documentation.
- Assist clients with warnings, disciplinary hearings and employee performance matters.
- Manage and support grievance processes.
- Assist with investigations into employee-related issues.
- Provide guidance to management on appropriate and procedurally fair steps when dealing with employee matters.
- Assist with employee dismissals, retrenchments and other termination processes where required.
- Maintain accurate and confidential records of all employee relations matters.
Employment Contracts & HR Administration:
- Prepare and maintain employment contracts and related documentation.
- Assist with probation and performance management processes.
- Develop and maintain HR policies, procedures and templates for clients.
- Assist clients with general HR administration and compliance requirements.
- Keep up to date with changes in relevant employment legislation and HR best practice.
Labour & Bargaining Council Compliance:
- Assist clients with compliance with applicable Bargaining Councils and industry requirements.
- Manage Bargaining Council registrations, submissions, correspondence and related administration where applicable.
- Assist clients in understanding and applying relevant sectoral requirements.
- Monitor changes to applicable employment legislation, Bargaining Council agreements and minimum employment requirements.
- Ensure that HR processes and documentation are aligned with applicable legal and industry requirements.
Payroll:
A key component of this role will be taking control of and processing payrolls for our clients.
Client Visits & Relationship Management:
- Attend client sites when required to assist with HR matters.
- Build strong, professional relationships with business owners, managers and employees.
- Understand each client's business and workforce to provide practical and appropriate HR support.
- Conduct HR reviews or health checks where required.
- Assist clients with implementing improved HR processes and systems.
- Become a trusted extension of the client's management and finance team.
What We're Looking For:
We are looking for someone who combines strong HR knowledge with exceptional administration skills and who is comfortable working independently across multiple clients.
The successful candidate should be confident dealing with both employees and business owners and should be able to take a practical approach to resolving HR issues.
The Person We're Looking For:
This role will suit someone who is highly organised, commercially minded and comfortable taking ownership.
You should be the type of person who can walk into a client's business, understand the issue, work through the relevant legislation and documentation, and provide management with a clear and practical way forward.
You will need to be equally comfortable:
- Sitting behind a computer and meticulously managing HR records and payroll;
- Advising a business owner on an employee matter;
- Preparing an employment contract;
- Assisting with a disciplinary process;
- Working through a Bargaining Council requirement;
- Processing and reviewing a client's payroll; and
- Travelling to a client when an issue requires hands-on support.
This is not a purely administrative HR role. We are looking for someone with the knowledge and confidence to take ownership of the HR function for our clients and become a trusted source of HR and payroll support.
