Job description
KZN's largest Vodacom Retail Franchisee (Est 1996) is looking for a dynamic Administrator to support the Human Resources Department at our Head Office situated in Montclair (Please note the working suburb and salary when applying for this position)
The ideal candidate must have exceptional people skills and will act as the first point of contact for all Human Resource related queries for field staff and report to the HR Director.
Your main administrative duties are servicing all staff within the various departments for biometric clocking systems, claims, vehicle tracking, equipment, group uniforms and telephone management. The ideal candidate must have experience with HR procedures and is able to carry out various administrative tasks in a timely manner while conforming to labour laws.
Responsibilities:
Organize and maintain personnel records for all field and HQ staff
Update internal databases (e.g. leave, attendance registers, uniforms, etc.)
Ensure on onboarding checks are done prior to employment
Prepare HR documents, e.g. employment contracts, induction packs, uniform and equipment allocation
Induction of new field staff
Manage and maintain group uniforms, badges with service providers and line mangers
Revise, maintain and implement new company policies aligned with company culture and legislation
Liaise with external service providers for biometric/telephone management, IT, insurance vendors when required
Manage all vehicle tracking and mileage logs
Create regular reports and presentations on HR metrics for field staff (e.g. late coming, punctuality, telephone usage, staff probation etc.)
Address staff queries on all HR related issues
Assist payroll master by providing relevant employee information (e.g. leave, absence, overtime, deductions, loans etc.) for staff
Manage all Field Staff sign on documents and explanation of policies and procedures
Implementation of monthly appraisals, printing of certificates, and stats for management on all field staff
Coordinate HR meetings e.g. probation reviews, compliance and disciplinary matters
Manage and audit Group telephone management systems daily to prevent abuse and under usage. This includes training on Pabx, maintaining user pin codes, screening of itemized billing
Conduct training on equipment for Head office and Retail staff (eg. copier, health and safety) this includes usage reports.
Maintain access control systems
Archiving of completed exit packs
Arranging labor relations issues (disciplinary enquiries, hearings, grievances etc.)
Ensure we build robust HR department and maintain good human relationships.
Requirements:
Matric + HR qualification advantageous
At least 3 years HR Administration experience or active in a relevant role implementing HR systems and processes
Experience with HR software (e.g. Sage ESS, TracTec time management system, Transunion etc.)
Computer literacy (Advanced Excel, Power point, Outlook etc.)
Tech savvy and ability to learn application software easily e.g. TracTech, Matrix tracking, Man 3000 telephone system
Thorough knowledge of labour laws
Excellent organizational skills, with an ability to prioritize important projects
Excellent verbal and written communications skills
Ability to learn and have understanding of the differences between various roles within Organization
Honest, trustworthy and willing to go the extra mile
Experience in retail time management and staff rostering
Tenacious/ persistent personality
Details:
Monday to Friday: 8am to 5pm
Saturdays: 8am - 1:30pm
Public holidays when required due to the nature of the business being retail.
Must be flexible for the first 6 months due to training
Standard leave rules apply
Must have own reliable transport
