Job description
We are seeking a proactive, collaborative, and tech-savvy HR Systems Coordinator to join our HR team in Johannesburg. Operating within the international development sphere across Africa, our firm delivers impactful programmes that require robust, compliant, and efficient operational support.
As the HR Systems Coordinator, you will serve as the central systems owner for our core HR platforms: PaySpace, Team Maven, and Workable. Working in close collaboration with the rest of the HR team and balancing technical expertise with exceptional people skills, you will act as the primary point of contact for user queries, design and deliver engaging training materials to upskill the team and organisation, and provide critical administrative coordination for high-priority regional initiatives, including our Young Professionals Programme (YPP).
Requirements
- HR Systems Ownership: Serve as the primary administrator and subject matter expert for PaySpace, Team Maven, and Workable, ensuring system integrity, optimal performance, and data accuracy. Ensure all integrations are operating at maximum functionality.
- User Support and Capacity Building: Manage and resolve daily user queries across all HR platforms. Identify knowledge gaps, design creative and engaging training materials in diverse formats, and deliver training sessions to enhance staff capability and increase system adoption and compliance.
- Content Creation & Upskilling: Identify user education gaps across core HR systems and develop clear, engaging training materials such as user guides, interactive walkthroughs, and instructional videos to train, upskill, and empower staff, driving platform adoption and system compliance across the organisation.
- Talent Acquisition Gatekeeping: Act as the compliance gatekeeper within the Workable applicant tracking system, meticulously verifying that all required candidate information, approvals, and documentation are complete prior to the formal offer stage.
- Information Management: Curate and maintain the HR content on the firm’s intranet site, ensuring all documentation, policies, and toolkits are up to date and easily accessible. Coordinate the HR aspects of the G:Assistant chatbot.
- Programme Coordination and Administration: Provide high-level administrative support for the Young Professionals Programme (YPP) and graduate recruitment campaigns, including scheduling multi-stage interviews, arranging regional travel logistics, and processing invoices.

Must-Haves
- Education: A university degree in Human Resources, Information Technology, Business Administration, or a related discipline.
- HR Systems Administration: Proven experience managing HR systems to ensure system integrity and data accuracy.
- Compliance and Gatekeeping: Strong attention to detail with a practical understanding of recruitment governance, data integrity, and compliance checking before making employment offers.
- User Support and Inquiry Management: Capacity to manage and efficiently resolve daily user questions across internal platforms, acting as the primary point of contact for staff.
- Programme Coordination: Experience providing high-level administrative support, including scheduling multi-stage interviews, arranging travel logistics, and processing invoices.
- Content Creation and Upskilling: Ability to identify user education gaps and create clear, engaging training materials (e.g., guides or videos) to help staff navigate HR systems.
- Communication Skills: Exceptional written and verbal communication skills, with the ability to translate technical system processes into clear, accessible learning content for diverse users.
- Personal Competencies: A self-starter who demonstrates high levels of initiative, a proactive approach to problem-solving, and a highly professional, personable, and adaptable demeanour.
- AI and Tech Savviness: Passionate about technology and experience utilising modern AI productivity tools to streamline administrative workflows and improve operational efficiencies.
Nice-to-Haves* Specific System Knowledge: Direct, hands-on experience using PaySpace, Team Maven, and Workable.
- Graduate Programme Experience: Prior experience specifically coordinating a Young Professionals Programme (YPP) or similar large-scale graduate recruitment campaigns within a professional services or international development context.
LOCATION:* Johannesburg, South Africa
We operate a hybrid working environment with 2 days a week (minimum) in our Hyde Park office.
