Job description
Purpose of Role
Organize, maintain, and update employee files, including personnel records, payroll documents, and benefits information to ensure accuracy and compliance with company policies and legal requirements.
Role Context
Key Accountability and Responsibilities
- Compile weekly reports and updates on employee records filing
- Maintain accurate, complete, and up-to-date employee records in line with HR procedures and confidentiality requirements
- Sort, index, label, and arrange employee files systematically to ensure easy retrieval and consistent record control
- Track missing, outdated, or incomplete employee documentation and follow up with relevant HR team members to ensure files remain compliant
- Apply document retention, archiving, and disposal procedures according to company standards and applicable data protection requirements
- Update filing registers, checklists, and tracking sheets to reflect documents received, filed, outstanding, archived, or returned to HR personnel
- Retrieve employee files and documents upon authorised request and ensure all issued files are signed out, monitored, and returned to the filing area promptly
- Identify duplicate documents, misplaced records, and incorrect file allocations, and correct filing errors in accordance with HR filing standards
- Prepare new employee files, file dividers, labels, and documentation packs to support ongoing employee records administration
- Conducting Audits with HR Team on HR Filing
- Maintain high standards of housekeeping (Office and Filling room)
- Participating in various meetings related to the Filing Project
Qualifications:
- Grade 12 (NQF4)
- Certificate in Human Resources Management / General Administration (advantageous)
Job specific experience:
- 1-2 years working experience in an administrative or related role
- Basic computer literacy MS Suite and applicable systems

This is a 3 Months Fixed Term Contract
