Job Overview & Scope – Imports Stock Controller
An Imports Clerk/ Stock Controller manages the process of bringing goods into the country and manages inventory levels.
This role involves the handling of paperwork and coordinating with various parties.
Duties and Responsibilities:
1. Follow ups on shipping agents and transporters
2. Tracking of containers
3. Daily shipment tracker email to be sent to Line Manager and the Director
4. Daily out of stock email to be sent to Head Buyer and Sales Reps
5. Petty cash and daily balancing
6. Allocating and formatting of barcodes
7. Housekeeping of Sage Evolution
8. Printing of barcode labels
9. Attend to daily stock related queries internally and externally
1. Prepare quotation for ocean freight (tender process)
2. Payment to foreign suppliers (BOP Forms)
3. Submitting SAD500 documents to all banks for reserve bank closure
4. Prepare clearing instructions for each shipment for final approval and sign off with Buying Operations Manager
5. Weekly checklist for all arriving containers
6. BOP payment tracker
7. Updating whiteboard with ETA shipment arrivals
8. Purchase order dates to be updated as ETA dates on SAGE
9. Validating prices, quantity, item codes, banking details, total sum and any other important information
on each invoice, packing slip and bill of lading before handing order to finance department.
10. Clean up of purchase order tray
11. Prepare prior duty tariff entry, a copy of the old custom document to be attached to the new invoice
12. To hand all Swift foreign payments to Junior Accountant.
13. Daily stock master updates
14. Creating new items and daily pricing updates on Pastel
15. Updating container checklist
16. Monitoring expiring dates on stock
17. Check duplicate stock codes
1. Monthly 3-way check on catalogue
2. Add and remove monthly specials on Pastel
3. Stock count on labels internally
Skills & Competencies
- Strong administrative and organizational skills.
- Excellent attention to detail and accuracy.
- Strong communication and follow-up abilities.
- Ability to work under pressure and meet deadlines.
- Proficient in Sage Evolution and Pastel (or similar ERP systems).
- Good understanding of import processes, documentation, and customs requirements.
- Problem-solving ability and proactive approach.
- Numerical accuracy for pricing, invoice validation, and petty cash handling.
Qualifications & Experience
- Matric / Grade 12 required.
- Diploma or certificate in Logistics, Supply Chain, or related field (advantageous).
- Minimum 2–3 years’ experience in imports, stock control, or logistics administration.
- Experience with BOP forms, SAD500 documents, and import clearing processes preferred.
- ERP system experience (Sage, Pastel) required.
Pay: R6 500,00 - R7 500,00 per month
