Job Purpose:
To provide administrative support for the graduation process by coordinating stakeholders, maintaining schedules, following up on outstanding actions, managing graduate and guest information, and assisting with communication, awards, and ceremony logistics to ensure the successful and timely delivery of graduation activities.
Duties and Responsibilities:
- Provide general administrative support for graduation planning and coordination.
- Maintain graduation planning schedules, trackers, records and documentation.
- Coordinate with internal and external stakeholders and follow up on outstanding actions.
- Assist with managing and updating graduate and guest information.
- Support graduation-related communication and distribution of information to relevant stakeholders.
- Assist with the preparation and coordination of awards, certificates and ceremony materials.
- Support logistical arrangements before and during graduation ceremonies.
- Assist with venue, seating, guest, graduate and programme-related arrangements.
- Maintain accurate records and ensure information is captured and updated timeously.
- Respond to graduate and guest queries in a professional and customer-focused manner.
- Provide on-the-day administrative support during graduation ceremonies.
- Perform general administrative duties and other tasks related to the successful delivery of graduation activities.
Experience:
- Grade 12 qualification; relevant tertiary qualification or studies in Administration, Events Management, Hospitality, or a related field will be advantageous
- Strong administrative and organisational skills.
Competencies:
- Knowledge and understanding of the South African higher education systems and regulatory framework.
- Ability to manage time effectively.
- Attention to detail.
- Customer service orientated.
- Ability to effectively cope with change.
- Deadline orientated and can work well under pressure.
- Be able to work in a team environment.
- Effective communication skills
