IT Renewals Coordinator Job type - Fully remote (within South Africa) US Working hours - 7am - 4pm EST Monday - Friday

About the Role: Uptime Global is seeking a highly organised and proactive IT Renewals Coordinator to manage technology renewals and lifecycle replacement opportunities across our growing customer base.

As the central coordinator for all client renewal activity, you will be responsible for identifying upcoming renewals, managing software and licensing agreements, tracking hardware lifecycles, coordinating with vendors and distributors, and working closely with Account Managers to ensure customers maintain uninterrupted access to critical technology solutions.

This is an excellent opportunity for someone with strong administrative, commercial, or IT industry experience who enjoys building relationships, managing multiple priorities, and driving customer retention.

Software Renewal Management: Manage and coordinate renewals for a broad portfolio of technology solutions including Microsoft 365, Microsoft CSP/NCE, Adobe, Bluebeam, SentinelOne, Cisco Meraki, Duo, Mimecast, Dropsuite, Veeam, Huntress, SaaS applications, security subscriptions, line-of-business software, and other vendor solutions. Responsibilities include:* Monitoring upcoming software and licence renewals.

  • Ensuring renewal quotations are issued well before expiration dates.
  • Coordinating pricing with vendors and distributors.
  • Identifying licence increases, reductions, and optimisation opportunities.
  • Verifying current licensing requirements with customers.
  • Tracking quotes through approval and completion.
  • Escalating high-risk or overdue renewals.
  • Hardware & Infrastructure Lifecycle Management.
  • Manage lifecycle planning, warranty renewals, support agreements, and technology refresh opportunities across customer environments, including servers, workstations, laptops, networking equipment, firewalls, wireless infrastructure, storage systems, UPS systems, and backup appliances.
  • Tracking warranty expiration dates and support contract renewals
  • Identifying aging infrastructure and end-of-life technology.
  • Recommending lifecycle replacement and technology refresh opportunities.
  • Generating refresh proposals and upgrade recommendations.
  • Coordinating with engineering teams to determine sizing and technical requirements.

This approach typically removes around 30-40% of the space used in those sections while maintaining the same level of detail and keyword coverage for job boards and LinkedIn searches.

Client Renewal Coordination:* Serve as the primary contact for client renewal activity.

  • Follow up on outstanding quotations and approvals.
  • Track renewal opportunities through the sales cycle.
  • Escalate at-risk renewals where appropriate.
  • Coordinate renewal meetings with customers and internal teams.
  • Maintain accurate records of all customer communications.

Vendor & Distributor Management:* Build strong working relationships with key technology vendors and distributors.

  • Obtain renewal pricing and quotations.
  • Secure special pricing and promotional opportunities where available.
  • Verify product availability and licensing requirements.
  • Coordinate coterminous renewals where appropriate.
  • Work with Microsoft, Cisco, Adobe, Bluebeam, and other strategic partners.

CRM & Administration:* Maintain an accurate renewal calendar.

  • Update CRM records and opportunities.
  • Track and report on the renewal pipeline.
  • Document quote outcomes and customer decisions.
  • Maintain asset lifecycle information.
  • Produce monthly renewal and retention reports.

**What We're Looking For:*Essential Skills & Experience: Previous experience in a customer service, account management, sales support, renewals, or administration role.

  • Strong organisational and time-management skills.
  • Excellent attention to detail.
  • Ability to manage multiple deadlines and priorities.
  • Strong written and verbal communication skills.
  • Experience using CRM platforms and Microsoft Office applications.
  • Confidence working with customers, vendors, and internal stakeholders.
  • Commercial awareness and a customer-focused mindset.

Desirable Experience:* Experience within an MSP, IT reseller, software licensing, or technology services environment.

  • Knowledge of Microsoft 365, CSP/NCE licensing, cloud subscriptions, or software renewals.
  • Familiarity with hardware lifecycle management and warranty tracking.
  • Experience working with technology vendors and distributors.
