Job description
The Junior Accountant will be responsible for providing financial, accounting, procurement and administrative support to the Finance Department and operational teams.
The role combines junior accounting responsibilities with the sourcing, purchasing and coordination of materials, equipment, tools and services required for sprinkler and fire protection projects.
The position requires strong attention to detail, sound numerical ability, effective communication skills and the ability to work closely with project managers, site teams, stores, suppliers and the Finance Department
KEY RESPONSIBILITY AREAS (KRAs)
1. Financial Accounting and Bookkeeping
- Asset Management support: Fixed asset register; Asset counts.
- Cash Management support.
- Assisting with yearly review by auditors.
- Assist in Management account preparation.
- Capturing of credit cards and petty cash.
- Capture and process supplier invoices, credit notes and other financial transactions accurately and timeously.
- Match supplier invoices to approved purchase orders, delivery notes and goods received documentation.
- Verify that supplier invoices are correctly calculated and include the required supporting documentation.
- Allocate expenses and purchases to the correct general ledger accounts, cost centres, projects or contracts.
2. Procurement and Buying
- Receive and review approved purchase requisitions from project managers, site managers, workshop personnel and other authorised employees.
- Obtain quotations from approved and suitable suppliers.
- Compare quotations based on price, quality, availability, delivery time, technical requirements and supplier reliability.
- Prepare quotation comparisons and procurement recommendations for approval.
- Negotiate pricing, payment terms, delivery periods and other commercial terms within the limits of delegated authority.
- Prepare and issue purchase orders following the company’s procurement and approval procedures.
3. Supplier and Creditor Management
- Maintain an accurate and up-to-date supplier database.
- Resolve supplier queries relating to purchase orders, deliveries, invoices and payments.
- Reconcile supplier statements and resolve outstanding account differences.
- Monitor supplier account balances and communicate potential account or credit-limit concerns to management.
4. Project Costing and Cost Control
- Allocate material and procurement costs to the correct project, contract or cost centre.
- Provide accurate procurement information to support project costing and forecasting.
- Assist with the reconciliation of project purchases and supplier costs.
5. Compliance, Internal Controls and Administration
- Ensure compliance with company financial, procurement and approval procedures.
- Maintain appropriate segregation of duties and internal controls.
- Ensure that purchases are supported by approved requisitions, quotations and purchase orders.
- Maintain accurate and auditable financial and procurement records.
- Perform general finance and procurement administration as required.
MINIMUM REQUIREMENTS
- Education and Qualification - National Diploma or Diploma in Accounting, Financial Management, Bookkeeping, or a related field.
- Procurement or supply-chain training will be advantageous.
EXPERIENCE
- Minimum of 2–3 years’ relevant experience in accounting, bookkeeping, creditors, procurement or buying.
- Experience with modern cloud-based accounting or ERP systems (Sage Evolution)
TECHNICAL KNOWLEDGE
- Sound understanding of basic accounting and bookkeeping principles.
- Knowledge of accounts payable and creditor reconciliations.
- Knowledge of purchase-order and procurement processes.
- Knowledge of project costing and cost allocation will be advantageous.
- Proficiency in Microsoft Excel, Word and Outlook.
