JOB DESCRIPTION

Position Title

Junior Compliance Officer

Location

Pretoria North / Pretoria West, Gauteng

Reports To

Compliance Manager / Managing Director

Purpose of the Position

The Junior Compliance Officer is responsible for assisting the company in maintaining compliance with applicable legal, regulatory, contractual, environmental, health and safety, and internal management system requirements. The position supports the implementation and monitoring of compliance systems, document control, audits, risk assessments, and statutory obligations to ensure the company maintains good standing with regulators, clients, and stakeholders.

Key Responsibilities

1. Compliance Monitoring and Administration

  • Assist in maintaining the company's compliance management system.
  • Monitor compliance with legal, regulatory, contractual, and client requirements.
  • Maintain compliance registers and tracking systems.
  • Ensure company policies, procedures, permits, licences, and certifications remain current and valid.
  • Notify management of upcoming expiry dates and compliance obligations.
  • Assist in implementing corrective and preventive actions arising from audits and inspections.

2. Legal and Regulatory Compliance

  • Maintain the company legal and statutory compliance files.
  • Track and monitor compliance requirements relating to:
  • SARS compliance
  • VAT registrations and submissions
  • Compensation Fund compliance
  • CIPC documentation
  • B-BBEE certification
  • Central Supplier Database (CSD)
  • Environmental permits and licences
  • Contractor and subcontractor compliance documentation
  • Assist with applications, renewals, and submissions to regulatory authorities.

3. Risk Assessment and Compliance Reporting

  • Participate in operational and environmental risk assessments.
  • Assist in identifying compliance risks and areas of non-conformance.
  • Prepare compliance reports for management review.
  • Track corrective actions and ensure implementation by responsible parties.
  • Escalate non-compliance issues to management where necessary.

4. Audits and Inspections

  • Assist with internal and external audits.
  • Conduct routine compliance inspections at company facilities and project sites.
  • Compile audit findings and corrective action reports.
  • Monitor close-out of audit findings and recommendations.
  • Maintain audit records and supporting evidence.

5. Environmental, Health and Safety Compliance Support

  • Assist in monitoring compliance with environmental and health and safety requirements.
  • Support environmental reporting and record keeping.
  • Assist with waste management documentation, waste manifests, and disposal records.
  • Participate in incident investigations and reporting.
  • Monitor implementation of environmental and safety procedures on site.

6. Document Control and Record Management

  • Maintain controlled compliance documents and records.
  • Ensure all compliance documentation is properly filed and accessible.
  • Manage document revision controls and approval records.
  • Develop and maintain compliance tracking registers.
  • Ensure records remain audit-ready at all times.

7. Meetings and Compliance Coordination

  • Coordinate compliance meetings and reviews.
  • Prepare agendas and supporting documentation.
  • Record meeting minutes and distribute action lists.
  • Follow up on outstanding compliance actions.
  • Assist management in monitoring compliance performance indicators.

8. Operational and Client Compliance Support

  • Assist project teams with client compliance requirements.
  • Verify subcontractor compliance documentation before site access.
  • Support client audits and compliance assessments.
  • Ensure contractual compliance requirements are communicated and maintained.
  • Assist with preparation of compliance documentation for tenders and client submissions.

Minimum Requirements

Education

  • Diploma or Degree in Environmental Management, Occupational Health and Safety, Risk Management, Compliance Management, Business Administration, Law, or a related field.

Experience

  • 1–3 years of experience in compliance, environmental management, health and safety, administration, auditing, or a related field.
  • Experience with document control and compliance record management will be advantageous.
  • Exposure to environmental, waste management, mining, industrial, or consulting environments will be beneficial.

Knowledge and Skills

  • Understanding of compliance management principles.
  • Basic knowledge of South African regulatory requirements.
  • Understanding of environmental and occupational health and safety legislation.
  • Strong report writing and documentation skills.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Strong organizational and administrative abilities.
  • Excellent attention to detail.
  • Ability to manage multiple deadlines and priorities.

Special Requirements

  • Valid South African driver's licence.

  • Applicants residing in Pretoria North, Pretoria West, Akasia, Rosslyn, Wonderboom, or surrounding areas will receive preference due to operational requirements.
