About the position
ARKE ZA Holdings (Pty) Ltd is looking for a reliable, organised and detail-oriented Junior Training Administration Assistant to support our training and programme administration.
This is an entry-level administrative role focused on learner records, Portfolio of Evidence (POE) management, data capturing and general programme support.
The position will initially be offered on a fixed-term contract. There may be an opportunity for permanent employment should the business continue to grow and a permanent operational need arise. Permanent employment is not guaranteed and will depend on business requirements and satisfactory performance.
Key responsibilities
- Receive, record, organise and file learner POEs.
- Maintain accurate physical and electronic learner files.
- Check learner files against document checklists.
- Identify and report missing, incomplete or unsigned documents.
- Prepare POEs for assessment, moderation and verification.
- Track the movement and status of learner POEs.
- Capture and update learner information on spreadsheets and internal systems.
- Assist with learner registration and onboarding administration.
- Assist with SASSETA and other relevant SETA forms and processes.
- Maintain learner lists, attendance registers and training schedules.
- Scan, print, copy, upload and archive documents.
- Assist with preparing documentation for site visits and verification.
- Support the distribution of learning materials, learner results and certificates.
- Follow up with learners regarding outstanding documents.
- Respond to basic learner enquiries professionally.
- Draft routine emails, reminders and notices.
- Provide general administrative support to the Programmes Director and training team.
Minimum requirements
- Grade 12 or an equivalent qualification.
- Basic administrative and computer skills.
- Working knowledge of Microsoft Word, Excel, Outlook and OneDrive.
- Good written and verbal communication skills.
- Strong filing and organisational skills.
- Good attention to detail.
- Ability to follow instructions and established processes.
- Ability to manage routine tasks consistently.
- Ability to meet deadlines and follow up on outstanding work.
- Reliable transport to the Woodstock office.
Advantageous experience
The following would be beneficial but is not essential:
- Previous administrative, filing or data-capturing experience.
- Experience working for a training provider or educational institution.
- Basic knowledge of SETA documentation and processes.
- Experience working with learner files or POEs.

Working arrangement
This is a hybrid role. The successful candidate will work from the Woodstock office on designated days and remotely on approved days.
The candidate must be available to work from the office whenever physical learner files, POEs, meetings or operational activities require on-site support. The hybrid arrangement will depend on performance and operational requirements.
