Job description
Duties & Responsibilities
General Administration & Operations Coordination
- General administration and coordination of daily operations
- Liaising with agents, supervisors, and managers to support daily business operations
- Engaging with managers and supervisors to monitor performance and ensure smooth operational flow between agents and
management
- Maintaining general operational documentation
- Maintaining training and operational records
- Taking minutes and maintaining proper meeting documentation
Client & Communication Management
- Appointment scheduling, reception/telephone handling, and client communication
- Contacting customers to request and verify FICA documentation
- Placing orders on behalf of clients and ensuring effective communication channels
- Building and maintaining strong relationships with key agents and stakeholders to support business objectives
Performance Monitoring & Reporting
- Monitoring performance and compiling weekly reports across various regions and teams
- Preparing reports, summaries, and administrative insights for management
- Compiling admin and mobile app issue summaries for technical and operational purposes
- Identifying performance gaps and providing feedback or recommendations to improve operational efficiency
Issue Resolution & Escalation
- Escalating unresolved matters to senior management where required
- Managing app-related administrative issues (e.g. downtime tracking and reporting)
Data Management & Record Keeping
- Data capturing, reporting, and maintaining accurate records and audit trails
Financial Administration
- Handling invoicing, placing purchase orders, and allocating invoices (Sage Accounting knowledge advantageous)
Sales & Business Analysis
- Analyse sales data, market trends, and customer insights to identify opportunities and challenges
- Develop reports and presentations for internal stakeholders with actionable recommendations
Strategy Development & Execution
- Collaborate with internal teams to create and implement strategies to increase sales and market share
- Continuously evaluate initiative effectiveness and adjust plans accordingly
Innovation & Idea Generation
- Identify trends and opportunities for growth within the sector
- Develop innovative solutions to enhance partnerships and drive business expansion
- Foster creativity through brainstorming and presenting new initiatives
Data Management & Strategic Reporting
- Maintain accurate and up-to-date records of sales, partnerships, and operational data
- Use data-driven insights to forecast trends and support decision-making
- Prepare and present detailed performance reports to senior management and stakeholders
Desired Experience & Qualification
Education
- A minimum National Diploma in Office Administration or Secretarial (NQF Level 5)
Experience
- At least 2 years’ experience in an office administration or secretarial environment
- Strong administrative and office coordination experience
- Excellent typing and organisational skills
- The ability to follow instructions and perform well under pressure
- The ability to work independently
- A proactive and motivated attitude, with a willingness to go the extra mile and add value
