Clicks is on the hunt for a talented Lease Administrator to efficiently execute and coordinate all office administration duties, communication and correspondence with stakeholders as well as any other relevant responsibilities within the Property department.
Job description
Purpose and Objectives
- Ensure compliance with company policies, lease agreements, FICA, POPIA, and applicable financial regulations and requirements.
- Capture and maintain accurate lease data, rental updates, landlord records, lease abstracts, and critical dates within the SAP system.
- Maintain transaction tracking systems to ensure deadlines are met and documentation is properly filed.
- Process new store agreements, vendor documentation, and payment setups to ensure smooth onboarding.
- Track lease expiry dates, prepare and issue standard renewal documents, prepare renewal packs and compile vendor documentation for payment set up.
- Support property and leasing team with administration for new and existing stores.
- Maintain and assist with lease-related administration, support the processing and filing of lease agreements and related documents.
- Administer and coordinate rental queries, follow-ups, and general lease administration tasks.
- Prepare and maintain monthly and quarterly property reports, including internal and external audit reports and lease extension reports.
- Assist with property meetings, document preparation, and coordination of tasks, while supporting ad hoc projects as required.
- Ad hoc administrative duties when required including but not limited to scanning and filing documents, updating landlord information and maintaining store files.
Minimum requirements
Qualifications and Experience:

3 years’ experience in lease administration, property administration, real estate or property finance environment.

2 years of experience working on the SAP Real Estate system, with SAP FI being advantageous

Relevant tertiary qualification in Finance or Property related field

Strong understanding of lease data management, reporting, reconciliations, and financial accuracy Skills, Abilities and Job Related Knowledge:

Proficient in Microsoft Office applications

Strong numerical ability, attention to detail and strong organisational skills

Proven ability to manage multiple priorities in a fast-paced, admin-focused environment

Ability to work independently and under pressure

Integrity and discretion in handling confidential information.
