Job description
An established specialist law firm in Cape Town is looking for a highly organised, discreet and dependable Legal Practice Administrator and Personal Assistant to support the director and a small professional team.
This is a full time, office based position suited to someone who enjoys taking responsibility, keeping track of detail and ensuring that nothing falls through the cracks.
The responsibilities will include:
- Managing the director’s appointments, reminders and important deadlines
- Monitoring outstanding matters and following up with staff, clients, counsel, service providers and other parties
- Maintaining court, litigation and compliance diaries
- Assisting with court files, electronic court platforms, letters of demand, cost orders and litigation administration
- Coordinating Legal Practice Council, Fidelity Fund Certificate, FICA and audit requirements
- Assisting with invoices, bills, payment schedules, payroll information, VAT and PAYE administration, petty cash and authorised trust and business account administration
- Liaising with accountants, auditors, bankers, suppliers and service providers
- Maintaining staff records, leave information and other office administration
- Maintaining client, prospective client and matter lists
- Managing access to business systems, social media accounts, online platforms and external marketing service providers
The successful candidate must have:
- At least three years’ experience as a personal assistant, legal secretary, practice administrator or senior administrator in a professional environment
- Excellent written and spoken English
- Strong organisational skills and the ability to manage several competing deadlines
- Confidence working with figures, payment schedules and financial records
- Excellent computer skills including Microsoft Outlook, Word and Excel
- Sound judgment, maturity and absolute discretion
- The ability to work independently while knowing when approval is required
- Contactable professional references
Experience in a law firm, trust account administration, legal practice compliance, payroll administration, bookkeeping or court systems will be a strong advantage.
Starting remuneration will depend on proven experience and the responsibilities the successful candidate can manage from the outset. There will be scope for a formal remuneration review after six months based on performance and the responsibilities successfully assumed.
