Logistic Outbound Supervisor

Job Purpose Summary:

This position will be responsible for overseeing the outbound logistics silo and reverse logistics silo for the department. Ensuring a customer experience of high standard for both internal and external customers.

Key Duties and Responsibilities: Outbound Duties

• Daily check on all orders processed and invoiced.
• Timeous despatching and delivery of all orders placed for delivery in line with our customer delivery policy.
• Takealot and Amazon delivery and collection portal bookings.
• Timeous reporting on unprocessed orders to the Sales Department.
• Daily tracking and solving of problem parcels with courier partners.
• Timeous updating of problem parcels and corrective action to Sales Department
• Action and track the return of cancelled orders already despatched for delivery and failed delivery parcels
• Correctness and adherence to procedure checks on orders prepared.
• Attend to and solve customer queries and complaints professionally and timeously.
• Ensure all the applicable and required PODs for collection and deliveries are received and uploaded in Acumatica
• Obtain export estimates and arrange shipments accordingly.
• Complete relevant documents for export.
• Upload relevant exporting documents against invoice in Acumatica

Other and Administrative Duties

• Responsible for courier and delivery partner selection, evaluation, and relationships
• Daily filing of invoices and picking lists
• Assist Debtors Department with pod queries and make sure all are uploaded in Acumatica
• Monthly courier and truck rental expense report
• On time month end deadlines and monthly report
• Maintain a schedule for the planned motor vehicle services and maintenance including cleanliness of vehicles
• Action driver offences within a month from receiving and clear senior managers name on which fines are accordingly.
• Assist with department stock takes quarterly, half year and year end if required if needed.
• Assist with duties of the Warehouse Supervisor when on leave > Demo stock and Credit Notes processing and transfers

Yearly budget input and recommendations for the next year’s budget

HR

• Supervise collection room, pickers/packers and driver.
• Observe and report staff movements, leave and activities to the line manager.
• Make recommendations of review and update of Job Descriptions.
• KPI reviews in conjunction with Line Manager
• Hold regular team meetings and give constructive and motivating feedback to staff
• Ensure the team receives continuous and correct training.
• Ensure that all training records are completed, up to date and filed with HR.
• Keep up to date with inter-departmental process & procedural changes. Inform reporting line thereof.
• Adhere and enforce compliance with department and company policies and procedures and act against misconduct in line with the disciplinary code of conduct and in conjunction with the line manager

General

• Ensure workplace health, safety, and security requirements in respect of the work areas and stock are met
• Evaluate and recommend changes in work methods and procedures to increase productivity of the department
• Ensure that the work areas are clean and maintained in an organized manner.
• Maintain updated Notice Boards and literature in the Collection Room
