This full-time, on-site role is based at our Maitland branch. The Logistics Administrator is responsible for providing administrative support to the logistics and supply chain function by, maintaining accurate records, processing documentation, and ensuring the efficient movement of goods. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with suppliers, transport providers, warehouse personnel, and customers.
Qualifications and Experience:
- Grade 12
- A relevant Tertiary qualification will be advantageous
- Must have 2 years Administrative & Export experience
- Experience in well-known accounting packages
Responsibilities:
- Check and sign for order being sent for invoicing from departments.
- Generate and issue customer invoices based on delivery notes and dispatch documents.
- Verify delivery information against sales orders and ensure accuracy of quantities, prices, and customer details.
- Capture and update invoices on the ERP / accounting system.
- Liaise with the despatch team to confirm goods dispatched and resolve any discrepancies.
- Communicate with the sales and accounts departments regarding missing or unclear information.
- Ensure all supporting documents (delivery notes, PODs, etc.) are filed and maintained for audit purposes.
- Monitor invoicing timelines to ensure that all dispatches are invoiced daily.
- Assist in reconciling dispatch reports with invoiced items at month-end.
- Provide administrative support to the despatch and logistics team as needed.
- Comply with company policies, procedures, and health & safety regulations.
- Receiving of manufactured product for invoicing and preparation to despatch locally and internationally.
- Verify completeness/accuracy of quantities and pricing
- Liaising with foreign customers on the status/progress of their orders. Tracking online orders.
- Ensuring statutory compliance of exports and documentation. Including online generation of BSC documentation for Madagascar shipments.
- Cautious packing and recording of weight and dimensions of export orders.
- Obtaining and communicating transportation quotations. As well as invoicing of transportation costs.
- Online bookings for export shipments
- Timeously preparation and submission of accurate records to credit control.
- Liaising with credit control.

- Ability to work under pressure and meet deadlines.
- Sound organizational and filing skills.
- Proficiency in MS office
