Logistics Assistant

JOB PURPOSE SUMMARY:

To provide reliable operational and administrative support across the Warehouse and Logistics function, helping to ensure the accurate and efficient flow of stock, shipments and related documentation. The role supports internal teams, customers, suppliers and service providers by delivering responsive, professional and service-oriented assistance.

KEY DUTIES AND RESPONSIBILITIES:

Inbound Logistics

Procurement

• Update Acumatica accurately with shipment ETAs, status updates and relevant shipment notes.
• Obtain freight quotations from freight forwarders for internal and special-request shipments.
• Liaise with freight forwarders, clearing agents and internal departments to support the efficient coordination and movement of shipments.
• Maintain the weekly shipment status report, ensuring that information is accurate, current and distributed to the relevant internal stakeholders.
• Process goods receipts for purchases from local suppliers and notify the relevant internal teams once stock is available for sale.

Warehousing

Credit Note Stock

• Receive returned stock against the relevant Vision JobCard and verify the stock for accuracy and completeness.
• Store returned stock in the designated credit-note area according to its condition and/or type.
• Process daily stock transfers for credited stock to the appropriate warehouse and location, as instructed by the Warehouse Supervisor.
• Maintain accurate stock records.

Demo Stock

• Check and dispatch approved DO orders daily.
• Maintain accurate control of stock held in the Demo Stock location.
• Maintain accurate stock records and achieve zero unexplained stock variances during quarterly stock counts.
• Receive returned demo stock against the relevant Vision JobCard and verify it for accuracy and completeness.
• Hold returned stock in the Demo Credit Note location until the applicable credit notes have been processed.
• Process daily transfers of credited stock to the appropriate Demo Stock location.

Outbound Logistics

Takealot and Amazon

• Manage Takealot portal bookings and collections, including the printing and preparation of required product labels.
• Complete the required order processing for Amazon distribution-centre (DC) orders.
• Process Amazon collection orders through the portal, including invoice processing and waybill generation for collection.

Export

• Attend to export-related queries reflected on service-provider status reports and escalate issues to the Outbound Supervisor when required.
• Obtain export quotations in response to approved internal requests.
• Upload export-clearing documentation and proof-of-delivery documents to the relevant transaction in Acumatica.

Local Deliveries and proof of deliveries (POD)

• Book customer delivery time slots where required.
• Upload proof-of-delivery documentation for company-driver deliveries to Acumatica once the required supervisor checks have been completed.
• Assist the Debtors Department with proof-of-delivery queries and supporting documentation.
• Provide operational support and cover for departmental supervisors or team members during periods of leave or absence.
