Logistics Specialist
Zara South Africa
Zara South Africa is seeking an experienced and detail-oriented Logistics Specialist to support the smooth flow of stock across our supply chain. This role is responsible for coordinating logistics activities across warehouses, transport, distribution, imports, stock administration, reverse logistics, and stock-loss prevention, while ensuring operational excellence, compliance, and service quality.
The ideal candidate is highly organised, analytical, and able to work effectively in a fast-paced retail environment. You will play a key role in ensuring that logistics processes are implemented accurately, stakeholders are well supported, and service levels are consistently maintained.
Key Responsibilities
- Maintain up-to-date knowledge of supply chain best practices, customs clearance requirements, and other factors affecting logistics operations.
- Ensure compliance with company policies, customs regulations, health and safety standards, and all relevant legislative requirements.
- Ensure logistics systems, policies, procedures, and operational processes are correctly implemented and consistently maintained internally and by external service providers.
- Train and support key stakeholders on relevant company systems, logistics processes, and operational requirements.
- Coordinate end-to-end logistics activities to ensure the timely movement of stock between suppliers, distribution centres, warehouses, and retail stores.
- Coordinate with internal teams, suppliers, transporters, clearing agents, customs brokers, and other external service providers to ensure smooth logistics operations.
- Build and maintain effective working relationships with internal and external stakeholders in accordance with Service Level Agreements (SLAs) and the Company’s Code of Conduct.
- Monitor delivery schedules and proactively ensure the on-time delivery of stock to distribution centres, warehouses, retail stores, and customers, escalating delays and implementing corrective actions where required.
- Analyse logistics performance data and prepare operational reports to support continuous improvement and informed decision-making.
- Monitor logistics performance against agreed KPIs and identify opportunities to improve service levels and operational efficiency.
- Investigate delivery discrepancies, stock variances, transport delays, and logistics-related queries, ensuring timely resolution and implementation of corrective actions.
- Assist the Customer Service team with investigating and resolving logistics-related customer queries, including delivery delays, proof of delivery (POD) requests, damaged or missing shipments, incorrect deliveries, courier escalations, and other transport-related issues.
- Coordinate reverse logistics activities, including customer returns, damaged stock, supplier claims, store transfers, and product recalls where applicable.
- Maintain accurate logistics records, customs documentation, proof of delivery (POD) records, inventory records, and filing systems.
- Ensure the accurate processing and reconciliation of purchase orders, delivery documentation, customs documentation, shipment records, and proof-of-delivery documentation.
- Participate in the sourcing, evaluation, onboarding, and performance review of third-party logistics service providers.
- Monitor supplier and service-provider performance against agreed KPIs and SLAs, identify areas of concern, and recommend or implement corrective actions where required.
- Monitor transport costs and identify opportunities to improve operational efficiency and reduce logistics expenditure.
- Support the implementation of new logistics systems, operational process improvements, testing activities, and change initiatives.
- Escalate operational risks, transport constraints, customs issues, and supply chain challenges proactively while recommending practical mitigation actions.
- Assist in forecasting transport capacity requirements during peak trading periods, and sale events.
- Manage the procurement, ordering, distribution, and stock control of store packaging materials, ensuring all stores maintain sufficient stock levels and replenishment orders are placed timeously to prevent operational disruptions.
- Monitor packaging consumption trends and coordinate with suppliers to ensure the continuous availability of packaging materials and operational consumables.
- Monitor stock levels of logistics consumables and coordinate replenishment to support uninterrupted warehouse and store operations.
- Support the Logistics Manager with sustainability initiatives, logistics projects, operational implementations, and continuous improvement initiatives.
- Assist with the logistics coordination and execution of new store openings, store relocations, refurbishments, and other operational projects.
- Support business continuity by coordinating contingency plans during transport delays, supplier disruptions, customs delays, and other operational incidents.
- Identify operational risks, inefficiencies, and improvement opportunities, recommending practical solutions aligned with business requirements.
- Ensure compliance with internal logistics procedures, operational standards, and company policies.
- Perform any other logistics and operational duties reasonably required to support the evolving needs of the business.
Requirements
- Completed BCom, BTech, or equivalent qualification in Logistics Management, Supply Chain Management, or a related field .
- Minimum 5 years’ experience in logistics or a related field , with supervisory-level experience preferred.
- Strong knowledge of logistics operations, customs clearance, transport management, stock administration, and supply chain processes.
- Strong numerical, literacy, analytical, and problem-solving skills.
- High attention to detail and a strong commitment to accuracy.
- Ability to work under pressure and manage competing priorities effectively.
- Strong communication, stakeholder management, and coordination skills.
- A proactive, solutions-driven mindset.
- Knowledge of the company and brand will be an advantage.
- Own reliable transportation.
