Job description
INHERENT REQUIREMENTS AND JOB DESCRIPTION
Must be based in Cape Town with reliable transport to and from work daily.
1. Educational requirements
- Grade 12 / Matric.
- A relevant certificate or qualification in Administration, Fleet Management, Logistics, or a related field would be advantageous.
- Good computer literacy, including Microsoft Outlook, Word and Excel.
- Ability to work with electronic maintenance, fleet or ERP systems.
2. Administrative ability
- Accurate capturing of vehicle maintenance information.
- Maintaining vehicle files and service histories.
- Processing job cards, quotations, invoices and purchase orders.
- Recording maintenance, repairs, parts and labour costs.
- Filing and retrieving workshop documentation.
- Following up outstanding job cards, quotations, parts and repairs.
- Maintaining accurate records for audits and compliance purposes.
- Ability to work accurately with numbers and vehicle-related information.
3. Fleet/workshop knowledge
- Identify vehicles by registration, fleet number and vehicle type.
- Understand basic maintenance terminology.
- Understand the difference between scheduled maintenance, breakdown repairs and preventative maintenance.
- Record services, inspections, repairs and defects accurately.
- Liaise with mechanics, workshop personnel, suppliers and fleet personnel.
- Understand that maintenance records can affect vehicle availability and operational continuity.
4. Operational requirements
- Ability to work in a fast-paced transport and logistics environment.
- Ability to prioritise urgent vehicle repairs and breakdowns.
- Ability to work under pressure and meet deadlines.
- Ability to communicate with drivers, workshop personnel, suppliers and management.
- Willingness to work reasonable overtime when operationally required, subject to applicable working-time requirements.
- Ability to work both independently and as part of a workshop/fleet team.
5. Physical requirements
- May be required to walk around a workshop, yard and vehicle parking areas.
- May be required to stand and walk for reasonable periods.
- May be required to access vehicle/workshop areas safely.
- Ability to handle files, documents and small administrative equipment.
- Ability to occasionally handle light items such as documents, tools, parts documentation or equipment.
- Ability to work in an environment where there may be noise, dust, diesel fumes, oil, grease and changing weather conditions.
- Ability to comply with workshop PPE and safety requirements.
