Job description
ECHO Foundation is looking for a Maintenance Administrator to join our team.
Essential Duties and Responsibilities:
- Process and manage all job cards and distribute to the Journeymen and Painters.
- Process orders received from Maintenance employees, suppliers and contractors.
- Correspond with residents regarding maintenance work.
- Ensure snag lists and cost monitoring are done for each cottage.
- Monitor purchases for Maintenance Department.
- Follow up with contractors and suppliers on outstanding invoices, capture details and ensure it is signed off by the Head of Property before submitting it for payment.
- Capture water and electricity usage readings as given by the Supervisors and Municipality.
- Responsible for all filing.
- Manage bookings for the Holiday Flats in the Villages.
- Monitor LTE usage.
- Record petrol expenditure and vehicle mileage and provide a report to the Creditors Clerk.
- Track vehicle service dates and arrange servicing when needed.
- Process insurance claims.
- Administrate Customer Satisfaction Surveys.
- Send monthly reports on outstanding maintenance jobs to the Head of Property.
- Preparing reports for the monthly Property Meeting.
- Prepare the Job Card analysis every third month.
Qualifications required:
- Grade 12.
- Certificate in Office Administration or a related field would be beneficial.
Skills required:
- Strong organizational and time-management skills.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication and interpersonal skills.
- Ability to multitask and handle various administrative functions efficiently.
- Ability to work well under pressure and meet tight deadlines.
- Attention to detail and a proactive approach to problem-solving.
- Ability to work well both independently and as part of a team.
Work Experience:
- 3-5 years of experience in an administrative role.
