Job description
The Role JOB PURPOSE
The purpose of the Operations Manager role is to oversee and coordinate the efficient movement, storage, and distribution of goods in line with customer requirements and in a cost-effective manner. The incumbent of the role will achieve this by providing operational and people leadership to ensure sustained customer service levels and cost management in alignment with the company strategy.
DUTIES & RESPONSIBILITIES
- Obtain an understanding of the operations strategy, as well as client and business needs.
- Translate the branch strategy into actionable plans.
- Monitor budgets in line with branch plans.
- Ensure that the necessary people, systems and equipment are in place to support the achievement of the branch operational plan in line with client service levels.
- Manage and sign-off KPIs that will support the achievement of the plan and client service levels.
- Ensure that the plan is well communicated and understood by all key stakeholders.
- Roll out KPIs and ensure all resources understand what is expected and how this will be managed.
- Implement the branch operational plan and provide regular reports on the progress and performance of the branch against the plan and agreed KPIs.
- Manage and control all goods and products ensuring adherence to regulations, SOPs and policies in line with the parcel cycle.
- Ensure that all equipment is in good working order and adhere to relevant regulations and policies.
- Ensure that deliveries are made in line with customer service levels.
- Ensure that customer queries are resolved within relevant turnaround times as stipulated in SOPs.
- Contribute to the development of Standard Operating procedures and ensure that these are implemented and adhered to.
- Streamline communication channels, processes and procedures to drive efficiencies in the branch.
- Participate in regular risk assessments in partnership with STQC and ensure that all risks are mitigated and actively managed.
- Ensure that systems are updated accurately in accordance with operational policies and procedures.
- Partner with the fleet department to ensure that all fleet is efficiently utilised, managed, maintained, regulated, and reported against in accordance with standard operating procedures.
- Ensure Health and Safety standards are maintained.
- Ensure that all employees and resources performing work functions are clear on expectations and have the necessary tools and resources to fulfil the expectations.
- Monitor employee performance through the development and implementation of KPIs relevant to the function and performance conversations.
- Implement reward and recognition programmes in alignment with the people strategy.
- Identify and address skills gaps of employees where optimal performance measures are not being met and ensure employees are trained to close the gaps.
- Implement succession planning strategies and plans within the department to ensure the continuation of key roles and mitigate risk.
- Provide overall guidance, support and development to the team.
- Ensure that staff are trained in line with SOPs, policies and legislation (MYSHEQ).
- Take disciplinary action when relevant in accordance with relevant policies and procedures.
- Continuously review operations for areas of improvement and make recommendations where required.
Skills and Experience Minimum Requirements:
- Grade 12 (Matric) or equivalent
- Studying towards a relevant supply chain management / logistics diploma or similar
- 2 - 3 years’ experience in a Management within the logistics industry.
- Experience in Managing 2 – 3 types of freight products
Required Knowledge:
- Implementation of Continuous Improvement principles
- Intermediate costing & budgeting knowledge
- Knowledge of Microsoft Office, Excel, Word. Powerpoint
- Knowledge of labour legislation (BCEA, NBCRFLI Collective agreement etc)
- Route planning
