The Role

JOB PURPOSE

RTT Group Services invites suitably qualified candidates to apply for the Site Manager role. The position is based in Port Elizabeth. The Site Manager for Pharmaceutical Dispatch is responsible for overseeing all operations within the dispatch area, ensuring the efficient and compliant handling, storage, and transportation of pharmaceutical products. This role involves managing staff, maintaining regulatory compliance, and ensuring that all dispatch activities are carried out accurately and on time, whilst continuously managing operational cost.

Skills and Experience

DUTIES & RESPONSIBILITIES:

Operational Management:

• Oversee daily dispatch operations, ensuring all pharmaceutical products are handled, stored, and transported in accordance with regulatory requirements.

• Manage and coordinate the activities of the dispatch and fleet teams, including scheduling, assigning tasks, and monitoring performance.

• Ensure all dispatch processes are executed efficiently, focusing on accuracy, speed, and compliance with Good Distribution Practices (GDP).

Fleet Management:

• Manage the company’s fleet of vehicles, ensuring they are properly maintained, serviced, and compliant with all regulatory requirements.

• Oversee vehicle scheduling and route planning to optimize delivery efficiency and minimize transportation costs.

• Monitor fuel consumption, vehicle wear and tear, and ensure timely servicing and repairs to minimize downtime.

• Ensure compliance with all relevant pharmaceutical regulations, including temperature control, documentation, and handling procedures.

• Conduct regular audits of dispatch procedures, documentation, and fleet management practices to ensure adherence to quality standards.

Team Management:

• Lead, motivate, and develop the dispatch and fleet teams to achieve high performance and maintain a strong focus on compliance and customer service.
• Conduct regular performance reviews, provide feedback, and identify training needs to ensure team members are equipped to perform their roles effectively.

Customer Service and Communication:

• Ensure timely and accurate communication with customers, carriers, and other departments to resolve any issues related to dispatch and delivery.
• Manage customer complaints and concerns, ensuring swift resolution while maintaining a high level of customer satisfaction.

Health and Safety:

• Maintain a safe working environment in the dispatch and fleet management areas, ensuring compliance with health and safety regulations.
• Conduct regular safety inspections and ensure that all staff adhere to safety Reporting and Analysis:
• Generate and analyse dispatch and fleet management reports to monitor performance, identify trends, and implement improvements.

Other

JOB – RELATED REQUIREMENTS

Minimum:

• Grade 12 (Essential)

• Relevant tertiary qualification (advantageous)

• Minimum 2 years’ experience in a similar role (Essential)

• Experience managing a team (advantageous)

• Computer Literate, in Microsoft Word, Excel, PowerPoint, and Outlook Express

• Labour relations management
