Key Responsibilities
Marketing Administration
Coordinate and maintain marketing activities, campaigns, and promotional initiatives.
Assist with planning and executing marketing campaigns across digital and traditional channels.
Prepare marketing materials, presentations, brochures, newsletters, and promotional content.
Maintain and update the company website, social media platforms, and online marketing profiles.
Coordinate email marketing campaigns and maintain mailing lists.
Monitor marketing campaign performance and prepare reports on results.
Conduct basic market research and competitor analysis.
Maintain accurate records of marketing activities, contacts, leads, and campaign information.
Coordinate marketing events, exhibitions, trade shows, and promotional activities.
Liaise with external suppliers, advertising agencies, designers, printers, and other service providers.
Sales Administration
Provide administrative and operational support to the sales team.
Process sales orders, quotations, invoices, purchase orders, and related documentation.
Prepare sales reports, forecasts, presentations, and performance summaries.
Maintain accurate customer and prospect information in the CRM system.
Record, track, and follow up on sales leads and enquiries.
Schedule appointments, meetings, demonstrations, and customer visits for sales representatives.
Assist sales staff with proposals, tenders, presentations, and client documentation.
Monitor outstanding quotations and follow up with customers where required.
Assist with customer onboarding and ensure required documentation is completed.
Coordinate communication between sales, marketing, finance, operations, and customers.
Customer & Lead Management
Respond to customer and prospective customer enquiries professionally and promptly.
Capture new leads from websites, social media, campaigns, events, and other sources.
Qualify and distribute leads to the appropriate sales representatives.
Follow up on leads and maintain accurate records of communication and outcomes.
Maintain strong relationships with existing customers and assist with customer retention initiatives.
Handle routine customer queries and escalate complex issues to the relevant department.
Reporting & Performance
Compile weekly, monthly, and quarterly marketing and sales reports.
Track sales leads, conversion rates, campaign results, and sales activity.
Maintain databases, spreadsheets, CRM records, and marketing reports.
Assist management with analysing sales and marketing performance.
Monitor budgets, invoices, and expenditure related to marketing activities.
Identify administrative issues or opportunities for improving sales and marketing processes.
General Administration
Manage calendars, meetings, correspondence, filing, and general departmental administration.
Prepare meeting agendas, minutes, reports, and presentations when required.
Maintain organised electronic and physical records.
Assist with procurement of marketing materials and office supplies.
Coordinate internal and external communications on behalf of the marketing and sales teams.
Ensure confidential customer, sales, and company information is handled appropriately.
Perform other administrative duties as required by the Marketing or Sales Manager.
Key Skills Usually Required
Strong administrative and organisational skills.
Excellent written and verbal communication.
Customer-service orientation.
Good attention to detail and accuracy.
Ability to manage multiple tasks and deadlines.
Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
Experience with CRM systems and marketing platforms.
Basic understanding of sales and marketing principles.
Good interpersonal and relationship-building skills.
Ability to work independently as well as within a team.
