Purpose of the Position:
- Execute accurate and timely PR to PO processing for assigned spend type(s), ensuring buying compliance, correct approvals, and audit ready documentation.
- Procurement Operations Medium Spend: R1 000 000 to R2 000 000
- Comparative Quote Process: R100 000 to R1 000 000 (three quote/bid and buy governance)
- Spot Purchase: < R100 000 (low value, speed to PO focus)
- Resolve transaction issues, support supplier onboarding/catalogues, and collaborate with Strategic Buying and end users to improve channel adoption and speed.
Key Performance Objectives Tasks
PR to PO Execution
- Create accurate POs per policy/DoA and within SLA; attach required documents (quotes, SOWs).
- Execute call offs against framework agreements; minimise free text POs.
- Manage changes/expedites; coordinate with suppliers/end users to meet need by dates.
Buying Compliance & Documentation
- Apply buying channel rules (catalogue/call off/comparative quote/spot) correctly.
- Maintain complete, audit ready files and provide input and support during spot checks and internal audits.
- Enforce comparative quote standards for R100,000-R1,000,000 purchases (depending on assigned spend type).
Issue Resolution & Supplier/User Support
- Clear GR/IR exceptions, liaising with Accounts Payable and end users to resolve discrepancies.
- Assist supplier onboarding and catalogue updates (items, rates).
- Educate end users on requisition best practices to reduce rework.
Data & Continuous Improvement
- Track KPIs (cycle time, first time right %, compliance %, catalogue adoption).
- Propose improvements (templates, automations) and share root cause insights with Manager, Tactical Buying.
- Flag repetitive spot buys for potential catalogue creation
Qualifications
- Diploma in Procurement/Procurement Operations required
- Bachelor’s degree advantageous
Experience
- Procurement operations experience (3–5 years).
- ERP/e procurement familiarity (e.g., Coupa/SAP)
- End-to-end PR-to-PO execution within policy and SLA requirements.
- Interaction with suppliers for confirmations, changes, and expediting deliveries.
- Maintaining audit-ready documentation and supporting internal audits.
- Updating and maintaining supplier catalogues and pricing structures.
- Resolving goods receipt/invoice receipt discrepancies with Accounts Payable.
- Managing three-quote/bid governance for mid-value purchases.
- Monitoring cycle times, compliance rates, and catalogue adoption.
- Identifying process gaps and suggesting automation or template improvements.
