Medical Receptionist / Medical Virtual Assistant (Best Practice Premier)

About the Role

We are seeking experienced Medical Receptionists / Medical Virtual Assistants to support a busy Australian medical centre with 21 General Practitioners across 2 clinic locations. This role is heavily focused on patient communication, appointment management, and administrative support using Best Practice Premier.

The clinic currently requires additional reception support to ensure all incoming calls are answered promptly and patient enquiries are managed efficiently. Successful candidates will play a key role in delivering exceptional patient service while supporting the day-to-day operations of the practice.

Working Hours

The clinic operates between

7:30 AM and 10:00 PM (Australia time)

and requires coverage across the following shifts:

Morning Shift

  • 7:30 AM – 3:30 PM (8 hours)

Evening Shift

  • 3:30 PM – 10:00 PM (6.5 hours)

A minimum of two team members will be hired to provide coverage across both shifts.

Key Responsibilities Patient & Reception Support

  • Answer and manage incoming patient calls professionally and efficiently.
  • Respond to patient enquiries and provide accurate information.
  • Assist patients with appointment bookings, rescheduling, cancellations, and confirmations.
  • Direct enquiries to the appropriate doctor or department.
  • Handle calls relating to test results, patient records, referrals, and general practice enquiries.
  • Support patients across multiple doctors and clinic locations.

Appointment Management

  • Manage appointment scheduling using Best Practice Premier.
  • Coordinate appointments received through HealthEngine and other booking channels.
  • Monitor doctor schedules and ensure appointments are booked correctly.
  • Assist in managing waitlists and additional appointment requests.

Outbound Calling

  • Conduct outbound calls when inbound call volumes are low.
  • Follow up with patients using provided call lists.
  • Confirm appointments and attendance.
  • Contact patients regarding scheduling updates and other clinic requirements.

Administrative Support

  • Maintain accurate and up-to-date patient records.
  • Assist with general medical administration and reception tasks.
  • Ensure documentation is entered accurately and efficiently.
  • Support the smooth operation of the clinic’s daily workflow.

Essential Requirements

  • Previous experience as a Medical Receptionist or Medical Virtual Assistant.
  • Strong experience using Best Practice Premier (essential).
  • Excellent English communication skills, both verbal and written.
  • Experience handling high volumes of inbound and outbound calls.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Proficiency in Microsoft Office and general computer applications.
  • Reliable high-speed internet connection and a professional remote work setup.

Highly Desirable

  • Experience supporting Australian medical practices.
  • Experience using HealthEngine.
  • Knowledge of Australian healthcare and general practice workflows.
  • Experience working with multiple practitioners and clinic locations.

Candidate Location Requirement

  • Applicants must be based in South Africa.
  • Must be available to work the required Australian business hours.
  • Must have a quiet home office environment suitable for handling patient calls.
  • Backup power and internet solutions are highly preferred.
