Position: Medical Receptionist

Working Hours: US Hours (9am-5pm EST)

Full-Time, Remote Work.

Salary:  South African Rand (ZAR)

We are looking for a professional, organised, and compassionate Medical Receptionist to join our team. This role serves as the first point of contact for patients and plays a key role in delivering an excellent patient experience from initial enquiry through to ongoing care.

The successful candidate will be responsible for managing patient enquiries, coordinating appointments, maintaining accurate records, and providing administrative support to ensure the smooth day-to-day operation of the practice or healthcare service.

Key Responsibilities

• Welcome and assist patients in a professional and friendly manner
• Answer incoming phone calls, emails, and other patient enquiries
• Schedule, reschedule, and confirm patient appointments
• Register new patients and ensure all required documentation is completed accurately
• Verify patient information and maintain accurate electronic records
• Assist patients with completing forms and obtaining any outstanding documentation
• Coordinate communication between patients, healthcare providers, and internal departments
• Follow up with patients regarding appointments, documentation, and general enquiries
• Maintain confidentiality of patient information in accordance with company policies and applicable privacy regulations
• Manage clinician calendars and appointment availability
• Process referrals and update patient records as required
• Respond to patient concerns and escalate complex issues when necessary
• Perform general administrative duties including filing, data entry, and document management
• Ensure a high standard of customer service is maintained at all times

Requirements

• Previous experience in a healthcare, medical administration, reception, customer service, or patient-facing role is preferred
• Excellent verbal and written communication skills
• Confident and professional telephone manner with the ability to build rapport with patients
• Strong multitasking skills with the ability to manage a high volume of calls, appointments, and administrative tasks simultaneously
• Excellent organisational and time management skills
• High attention to detail and accuracy
• Strong customer service and problem-solving skills
• Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems
• Ability to work independently while also collaborating effectively with a team
• Professional, compassionate, and patient-focused approach
• Ability to maintain confidentiality and handle sensitive information with discretion
• Comfortable working in a fast-paced environment and adapting to changing priorities
