Job description
We are looking for an individual who will coordinate essential office operations with a heavy focus on structured data management, document governance, travel logistics, and procurement tracking.
Key Responsibilities
Document Control
- Maintain digital filing: Organise all incoming and outgoing company records
- Enforce naming conventions: Apply standardized file structures for quick retrieval
- Audit compliance documents: Track expiration dates for contracts and certifications
- Handle version control: Update and archive superseded technical documents
- Filing accuracy and version control
- Professional phone/email etiquette; clear written communication
- Able to juggle multiple deadlines and switch contexts smoothly
- Finance admin: Credit applications and vendor onboarding
Travel Logistics
- Coordinate travel bookings: Secure flights, accommodation, and rental cars
- Create detailed itineraries: Provide travelers with comprehensive schedules and confirmations
- Manage travel budgets: Select cost-effective options within company policy limits
- Reconcile travel expenses: Match invoices with credit cards statement monthly with the financial manager.
Asset Procurement and Expense Management
- Order office supplies: Monitor inventory levels and replenish items proactively
- Tract assets registers: Log new hardware and equipment deployments
- Process supplier invoices: Route billing documents to finance for payment and capturing
- Provide reception support: Filter primary phone calls delivery
Qualifications and Experience
- Grade 12 (Matric)
- 1-2 years in an administrative role
- Advanced proficiency in MS Office(Excel/Word) and Document Management Systems
