Job description
Our company is specialist electronic security company providing professional installation, maintenance and support services for access control, CCTV, gate automation, intercom and related security solutions across the Western Cape.
We are looking for a motivated, organised and customer-focused individual to join our growing team and become the central administrative support within the business.
The Office Administrator will be responsible for providing administrative support to ensure the efficient day-to-day operation of the office. The successful candidate will coordinate customer enquiries, assist with scheduling, prepare quotations and invoices, maintain company records and provide administrative support to management and the technical team.

Key Responsibilities Office Administration
- Manage incoming telephone calls and emails.
- Maintain organised electronic and manual filing systems.
- Prepare business correspondence and documentation.
- Ensure the office remains organised and professional.
Customer Service
- Respond to customer enquiries.
- Schedule service calls and installation appointments.
- Communicate appointment confirmations to customers.
- Follow up on outstanding quotations.
- Maintain accurate customer records.
Quotations & Invoicing
- Prepare quotations using ServCraft system.
- Generate invoices from completed job cards.
- Send customer statements.
- Assist with general administrative support relating to customer accounts.
Operational Support
- Coordinate technician schedules.
- Update job schedules.
- Ensure completed job cards are updated
General Administration
- Arrange meetings when required.
- Maintain records
- Assist management with general administrative duties.
- Support continuous improvement of office systems and procedures.
Minimum Requirements Essential
- Grade 12 (Matric)
- 1–2 years' administration or office support experience
- Proficient in Microsoft Office (Word, Excel and Outlook)
- Excellent verbal and written communication skills
- Strong organisational and time management skills
- High attention to detail
- Professional telephone etiquette
Advantageous
- Experience within an electronic security, construction or technical services environment

Working Hours
The position will work within business hours from Monday to Friday 07:30am - 16:00pm. From time to time, additional hours may be required to support operational requirements.
