Job description
We are seeking a highly organized and proactive Office Administrator to join our team based in Queensmead, Durban. The successful candidate will be responsible for managing office administration, fleet management, procurement, and technical documentation to ensure the smooth operation of our electrical projects.
Key Responsibilities:
General Office Administration
- Answer office calls and respond professionally to WhatsApp and other enquiries.
- Monitor office supply levels and arrange orders where required.
- Maintain filing systems, registers, spreadsheets, and administrative records.
- Support management and project teams with general office and operational administration.
- Perform other reasonable administrative duties aligned with the nature and level of the role.
Procurement and Materials Administration
- Obtain and follow up on supplier quotations for electrical materials required for tenders, projects, and operational requirements.
- Coordinate the procurement of electrical materials in accordance with approved project requirements, budgets, and company procedures.
- Manage the procurement administration process by accurately capturing and maintaining records of quotations, purchase orders, delivery notes, invoices, and site-specific material purchases to support project tracking and claims.
- Liaise with suppliers regarding pricing, product availability, delivery schedules, and order-related queries.
- Ensure all procurement documentation is accurately maintained, filed, and readily accessible for management, project, audit, and claims purposes.
- Escalate supplier, pricing, delivery, or stock-related issues to management timeously.
- Provide administrative support to tender and project teams by sourcing quotations and coordinating procurement-related documentation.
Fleet and Vehicle Administration
- Manage the timely registration, renewal, and updating of all vehicle licenses.
- Oversee fleet administration by coordinating daily inspections, compiling weekly reports, and maintaining meticulous records of all vehicle servicing, repairs, and inspections.
- Schedule routine vehicle maintenance and service intervals to ensure operational efficiency and fleet reliability.
- Administer vehicle tracking systems, fuel cards, and all related fleet documentation.
- Facilitate insurance-related administration for the company fleet and other operational assets..
Project and Technical Documentation Support
- Assist with Certificate of Compliance (COC) documentation administration.
- Prepare, update, and maintain Electrical Legend Cards to reference DB boxes upon project completion.
- Maintain organised records for completed projects, site documentation, and administrative files.
- Assist with document follow-ups required for project close-out and internal reporting.
Requirements
- Previous experience in an administrative role (electrical or construction environment preferred).
- Experience with procurement administration, quotations, or material purchasing records.
- Strong organisational, filing, and record-keeping skills.
- Good written and verbal communication skills; ability to liaise professionally with suppliers and clients.
- Proficiency in Microsoft Office (Word, Excel, and Outlook).
- Experience on Pastel advantageous
- Ability to work with figures and project records accurately.
- Flexibility and willingness to work beyond standard hours when project milestones require it.
- A valid driver’s licence is advantageous.
