SanlamConnect is dedicated to supporting, growing, and empowering clients through affordable, easy, and suitable solutions, primarily through face-to-face intermediary channels, but also directly. We have tied advisers and independent brokers, all dedicated to meet the financial needs of our clients. The REMS environment, in SanlamConnect, plays a critical role in supporting the business through remuneration, contracting, systems, business support and intermediary payroll services.What will you do?

The REMS Office Administrator will provide comprehensive administrative support to the REMS Senior Leadership Team, REMS Management and the wider REMS environment. The role is responsible for coordinating office activities, supporting strategic and operational meetings, administering procurement and budget processes, assisting with project administration, supporting POPIA-related activities and maintaining effective stakeholder relationships.What will make you successful in this role? Support services to the REMS Senior Leadership Team

  • Diary, call, mail and information management.
  • Time and priority management support.
  • Travel and accommodation arrangements.
  • Organise & coordinate meetings, workshops, planning sessions, presentations and functions.
  • Liaising with stakeholders and administrative support staff across the business.

Administrative support to REMS Management and Teams

  • Maintaining employee records, organograms, contact lists and leave schedules.
  • Managing Microsoft Teams channel administration and office-related logistics.
  • Coordinating stationery, office supplies, staff functions and recognition events.
  • Maintaining asset registers and supporting general document management.

Procurement administration

  • Processing third-party invoices and maintaining payment tracking records.
  • Coordinating procurement submissions, approvals and supporting documentation.
  • Liaising with Finance and Procurement to resolve queries and unblock payment challenges.
  • Maintaining vendor information and records

Budget administration and monitoring

  • Maintaining budget trackers and expenditure records.
  • Monitoring actual spend against budget and highlighting variances
  • Flagging possible overspending, underspending or items outside agreed thresholds.
  • Assisting with financial reporting and reconciliations.

Project administration

  • Scheduling project and release management meetings.
  • Following up on project activities and deliverables.
  • Monitoring project plans and overdue actions.
  • Providing general administrative support to project-related initiatives.

POPIA administration

  • Supporting Privacy Champion responsibilities.
  • Coordinating compliance, information security and retention checks.
  • Monitoring completion of required compliance activities and providing status updates.
  • Sharing relevant Privacy Champion communications and business requirements.

Stakeholder relationship management

  • Building and maintaining supportive relationships within REMS and SanlamConnect.
  • Working closely with Finance, Procurement, Compliance and operational teams.
  • Delivering a high standard of service to stakeholders, clients and vendors. Qualification and Experience
  • Grade 12 or equivalent qualification.
  • Office Administration qualification, with a National Diploma or higher preferred.
  • Office administration experience at least 3 – 4 years.
  • At least 2 years' experience within the Financial Services industry.
  • Experience within Sanlam Life and Savings or SanlamConnect will be advantageous. Knowledge and Skills* Microsoft Office Suite, including Excel, Word, PowerPoint and Outlook.
  • Microsoft Teams and SharePoint.
  • SAP S/4 HANA, Service Request System (SRS), Sanpay reports and E-signature systems.
  • Budget administration and monitoring.
  • Procurement administration.
  • Good verbal and written communication skills.
  • Strong organisational and coordination skills.
  • Ability to manage multiple priorities and stakeholders simultaneously.
