Role Overview
To support the effective functioning of the Human Resources and Administration departments through the provision of professional reception services, office administration, and HR administrative support. The incumbent is responsible for managing front-of-house operations, coordinating office administrative activities, maintaining employee records, assisting with HR processes and documentation, and ensuring that administrative systems are accurate, compliant, and efficiently maintained.
The role plays a key part in creating a professional workplace environment while supporting business operations and employee-related activities.
The potential candidate must be available to start 01 July 2026.
Key Responsibilities
- Welcome visitors, employees, candidates, and service providers professionally and direct them to the appropriate person or department.
- Manage the reception area, boardrooms, and common areas, ensuring they remain clean, organised, and presentable always.
- Procure, monitor, and distribute office stationery, refreshments, and other office consumables, ensuring adequate stock levels are maintained.
- Upload invoices and supporting documents onto the relevant approval systems and follow up on outstanding approvals where necessary.
- Coordinate the servicing, maintenance, and repair of office equipment, furniture, fixtures and facilities, including but not limited to, printers, coffee machines, air conditioners, and other office assets.
- Liaise with service providers, landlords, and contractors to ensure that all facilities-related issues are resolved timeously and that the workplace remains safe, functional, and compliant with company standards
- Act as the first point of contact for facilities-related matters and coordinate the reporting, follow-up, and resolution of maintenance, cleaning, security, utilities, and workplace infrastructure issues.
- Generate and compile monthly administrative and HR reports as required by management.
- Maintain strict confidentiality regarding employee information, HR matters, company information, and business operations.
- Provide general administrative support to management and perform any other reasonable duties within the scope of the position.
- Assist with recruitment administration, including posting vacancies, scheduling interviews, coordinating candidate communications, managing the recruitment email address, conducting reference checks where required, and preparing recruitment documentation.
- Provide administrative support to the HR department relating to employee lifecycle processes, including recruitment, onboarding, transfers, promotions, and terminations.
Desired Skills and Requirements
Qualifications & Experience
- Matric / Grade 12 (minimum)
- Certificate in Office Administration (desirable but not essential)
- 1-2 years’ experience in reception/ front of house or similar role.
- 1-2 years’ experience with office administrative duties
- 1-2 years’ working with Microsoft Office
- 1-2 years’ working with a time and attendance system
- 1-2 years’ working with vendors, service providers, etc.
- 1-2 years’ working with an external labour force (desirable but not essential)
