About us

Concept Foods is a growing food and beverage distribution business with a national footprint. Our business has a fully integrated supply chain nationally of Frozen and Dry Warehousing. Our products are supplied Nationally to Shoprite, FLM, PnP, Spar, Walmart and Makro.

The role
We're looking for an organised, hands-on Office Manager to run the day-to-day operations of the business and keep the team working smoothly together. You'll report directly to the owner and be the person who keeps processes, people, and systems running. As the business grows, there's real scope for this role to grow with it.

Key responsibilities

• Manage and support the office team, including allocating work, following up, and ensuring deadlines are met
• Oversee day-to-day office operations, order processing, and coordination between sales, admin, and warehouse or delivery teams
• Manage debtors and creditors, including invoicing, collections follow-up, supplier payments, and monthly reconciliations
• Maintain and improve business processes so that work is done consistently and nothing falls through the cracks
• Work with our cloud accounting and inventory systems to keep records accurate and up to date
• Prepare regular reports for the owner on sales, stock, cash flow, and outstanding accounts
• Handle HR administration, including leave, attendance, onboarding, and staff records
• Support compliance and supplier and customer documentation
• Identify problems early and bring practical solutions to the owner

Requirements

• 4 to 8 years' experience in an office management, administration management, or operations coordination role
• Proven experience managing or supervising a small team
• Strong working knowledge of debtors and creditors processes
• Comfortable with cloud-based accounting and inventory software
• Excellent organisation, communication, and follow-through
• Able to work independently and take ownership in a small business environment
• Proficient in Microsoft Office or Google Workspace

Advantageous

• Experience in the food and beverage distribution industry
• Formal accounting or bookkeeping experience or qualification
• Experience in a fast-growing or owner-managed business
