EE Position

Introduction:

To provide professional, efficient and accurate HR Services administration support to the Human Resources Division. The role is responsible for a variety of HR operational, administrative and support activities, ensuring compliance with company policies, HR standards and South African labour legislation.

Qualifications

  • Diploma in Human Resource Management or related field (NQF 6) or Higher.

Experience

  • Minimum 3 years’ experience in HR administration.

Knowledge & Skills

  • Sound knowledge of HR legislation (EEA, LRA, BCEA).
  • Proficient in MS Office.
  • Experience working with HR systems (SAP / SuccessFactors advantageous).
  • Strong attention to detail and administrative accuracy. High attention to detail and strong administrative accuracy.
  • Ability to work confidentially and professionally in a structured environment. Ability to handle sensitive information with confidentiality and professionalism, in a structured environment.
  • Valid driver’s licence (advantageous).

Summary Description of Role:

HR Services Support & Administration

  • Prepare and verify job requisitions against the master job grade and pay control sheet. Verify job title on job requisitions against the master pay control sheet input the job grade and remuneration.
  • Submit offer approval templates for management approval.
  • Compile employment contracts and employee engagement packs.
  • Track candidate status and onboarding documentation.
  • Onboarding new appointments – maintain employee records on SuccessFactors (SF).
  • Support offer approval processes and ensure accurate HR master data.
  • Track staff movements, promotions, transfers and new appointments and terminations.
  • Conduct Exit interviews.

General HR Administration

  • Prepare HR letters (e.g. increases, certificates of service, allowances).
  • Perform general office administration and requisitioning of HR-related goods and services.
  • Liaise with Payroll regarding onboarding for any staff movements and ensure data accuracy.
  • Maintain accurate filing for audit and compliance purposes.
  • Support Manager: HR Services with quarterly allowances audits.

Long Service Awards Administration

  • Administer the long-service awards process and maintain the service register.
  • Coordinate certificate approvals, printing, framing and distribution.

Expatriate Insurance Administration

  • Coordinate annual insurance renewals for expatriates.
  • Liaise with insurers regarding new assignments and terminations.
  • Prepare documentation for leadership approval and SAP payment processing.

Employee Assistance Programme (EAP) Support and Medical aid

  • Coordinate EAP appointments and service provider engagements when required.
  • Support with arranging onsite wellness days and year medical aid training
  • Support with any EVP related events e.g. walkathons or any wellness events
